Summary
We are currently recruiting on behalf of an external partner for an Executive Assistant to work closely to support the executive. You will perform a wide variety of tasks as assigned by the executive. The role is hybrid; however, candidates located in or near Vancouver, BC will be given priority consideration.
This position presents a dynamic and rewarding opportunity for an intrinsically motivated individual who is driven to support the executive and consistently create value wherever possible.
Your role will include:
- Manage and maintain executive calendars, including scheduling meetings, appointments, and travel
- Act as a gatekeeper for emails, calls, and meeting requests
- Prepare agendas, presentations, reports and briefing materials
- Track follow-ups, deadlines, and action items
- Coordinate electronic signature requests
- Coordinate with internal teams, external stakeholders, and clients
- Handle confidential and sensitive information with discretion
- Maintain filing systems and records
- Identify ways to streamline workflows and improve efficiency
Required Skills or Experience
- Candidates seeking to apply for the Executive Assistant Role position must satisfy the following requirements:
- Experience in a similar role for minimum 3 years
- Successfully complete online testing for the position
- Exceptional organizational & time management skills
- Strong written and verbal communication skills
- High attention to detail
- High degree of professionalism, discretion, and confidentiality
- Ability to prioritize in a fast-paced environment
- Problem-solving and anticipation of executive needs
- High adaptability to a high-stress, high work volume environment
- Natural curiosity and willingness to learn
- Ability to create polished presentations and documents
- Experience with calendar management tools, online booking platforms
- Proficiency in the Microsoft 365 and Google suite
- Professional, calm, and approachable demeanor

Salary and Benefits
- $60,000 – 80,000 base salary, with potential bonus based on individual performance
- Extended health benefits plan
