Receptionist/Appointment Coordinator

Location: 927 46 Ave SE, Calgary, AB T2G 2A5
Type: Full Time – Monday- Friday 8:00am to 5:00pm

Position Overview:

At ProFix Automotive Services, we're not your typical auto shop.

We're a fast-growing, startup-style automotive service business built on one simple mission: honest service, clear communication, and earning trust for life.

From oil changes and diagnostics to major repairs and inspections, our team delivers transparent, high-quality automotive care with no shortcuts and no surprises.

Now we're looking for the face of our shop - someone who can own the front desk, keep our schedule tight, and make every customer feel taken care of from the first call to final pickup.

Responsibilities:

  • Be the warm, professional first point of contact (phone, text, email, in-person)
  • Greet customers and create a welcoming, high-trust experience
  • Clearly communicate services, timelines, and next steps
  • Follow up with customers on appointments, updates, and completed work
  • Book, confirm, and optimize daily appointments for services like: Oil changes, brake work, tires & alignments, inspections, diagnostics, and repairs
  • Manage technician schedules to maximize efficiency and minimize downtime
  • Handle rescheduling, urgent bookings, and workflow adjustments in real time
  • Open and close repair orders (ROs)
  • Coordinate with technicians on job status and timelines
  • Ensure smooth vehicle drop-off and pick-up process
  • Maintain accurate customer and vehicle records
  • Help customers understand recommended services (no pressure, just clarity)
  • Identify opportunities to fill the schedule and increase shop productivity
  • Support estimates, approvals, and customer decision-making
  • Keep the front desk clean, organized, and professional
  • Manage inbound inquiries and prioritize effectively
  • Support day-to-day shop operations as needed

Requirements:

  • Strong phone presence – you enjoy talking to people
  • Highly organized and detail-oriented
  • Ability to multitask in a fast-paced, startup environment
  • Positive, solutions-first attitude
  • Clear communicator who builds trust quickly
  • Comfortable with scheduling software / basic computer systems
  • Automotive knowledge is a bonus (we can train the right person)

This is a Full-time position at ProFix Automotive Services in Calgary AB, this is not a remote role
