Job Overview:

The Project Coordinator is responsible for the coordination of assigned Commercial, Institutional and/or District Energy mechanical contracts.

Key Responsibilities:

  • Maintain well-organized logs and documentation systems for shop drawings, RFIs, and project plans.
  • Collaborate closely with suppliers to efficiently track the status of equipment deliveries and material orders, expediting as necessary.
  • Assist in the preparation and upkeep of project schedules to maintain project timelines and objectives.
  • Facilitate effective communication and coordination among project stakeholders to manage approved changes and ensure project continuity.
  • Provide regular updates to management regarding ongoing activities and information flow for informed decision-making.
  • Ensure availability of full-scale hard copies of Architectural and Mechanical IFC drawings for the site team, printing and providing additional copies for other disciplines as needed.
  • Review & follow-up on purchase orders & back orders
  • Prepare & update project mechanical schedules in Microsoft Project
  • Review, process & log requests for information (RFIs).
  • Estimate change notices/familiarize with estimating procedures.
  • Coordinate approved change orders with our staff, suppliers & subtrades.
  • Conduct regular jobsite visits in order to keep site documents current.
  • Provide assistance to field staff to ensure our processes meet customer expectations.
  • Take regular dated photographs of progress on the jobsite & keep in a job specific electronic file.
  • Record & issue Minutes of Meetings from site meetings with Project Managers review & approval.
  • Perform the functions of the Construction Quality Control (CQC) Systems Manager on assigned projects in accordance with the companies Quality Control Program.
  • Obtain & compile maintenance manual information as required.
  • Coordinate & follow up on project close out requirements.
  • Keep current on new products and services to ensure the company stays on the leading edge of technological advances.

Required Competencies and Qualifications

  • 1 to 4 years mechanical experience in the construction industry.
  • Successful completion ofpost-secondary Mechanical Engineering program or equivalent.
  • Proficient English oral and written communication skills. Able to follow verbal and written instructions and complete required paperwork accurately.
  • Possess the ability to read and interpret construction drawings and specifications.
  • Well organized with the ability to prioritize workload to meet deliverables and customer expectations
  • Well-developed problem-solving skills with the ability to find solutions and incorporate them into existing practices as needed.
  • Able to work both independently and as part of a team.
  • Experience with Accubid Enterprise or other estimating software is preferred.
  • Experience with Procore is preferred
  • Possess Class 5 Drivers License.
