In this role, you will play a key part in keeping our operations running smoothly by managing day-to-day administrative tasks, supporting multiple departments, and ensuring that communication and documentation are handled with accuracy and efficiency. The ideal candidate will be highly organized, adaptable, and able to balance multiple priorities without losing sight of the details. You will be working closely with both our leadership team and other staff members, making strong communication skills and a positive, team-oriented attitude essential to success in this position.

WHAT YOULL BRING
- Strong knowledge of general office procedures involving admin duties to help the office run smoothly and efficiently.
- Hands-on experience with productivity applications, including word processing, spreadsheets, and presentation software.
- Excellent writing and communication skills.
- Superior time management, multitasking, and the ability to prioritize tasks with minimal supervision.
- High level of sound and independent judgment, reasoning, and discretion.
- A professional, responsive, and positive work attitude is essential.
- Previous experience in handling confidential or sensitive information.
- Minimum two years of relevant administrative experience.
- Bilingualism (French/English), which is considered an asset but not required.
WHAT YOULL DO
- Provide comprehensive administrative support to all departmental team members.
- Prepare, review, and format documents, reports, and correspondence for the management team.
- Professionally receive and screen inbound calls, emails, and client inquiries.
- Support billing, invoicing, and accounts receivable processes.
- Coordinate departmental office activities, including internal and external events.
- Review, process, and distribute incoming and outgoing mail.
- Manage daily calendars and appointments for partners, management, and other team members.
- Uphold strict confidentiality in all interactions and documentation.
- Assist in preparing reports, presentations, and other deliverables.
- Maintain a professional and polished image in all staff and client interactions.
- Monitor and maintain office supply inventory; place orders as needed.
- Arrange travel accommodations with accuracy and attention to detail.
- Perform other relevant duties as assigned.
