Position Summary
We are seeking a highly organized and proactive Construction Project Coordinator to support project execution from pre-construction through to close-out. The ideal candidate will assist the project management team with documentation, communication, procurement, scheduling, and quality control. This is a critical role ensuring our projects are delivered on time, on budget, and to the highest standards.
Key Responsibilities
- Assist Project Managers in preparing and maintaining project schedules, tracking milestones, and updating progress.
- Coordinate and distribute RFIs, submittals, shop drawings, and change orders (PCNs).
- Review RFIs and shop drawings for completeness and alignment with project specifications prior to submission.
- Track and log RFI responses and submittal approvals to ensure timely follow-up and closure.
- Support procurement by issuing purchase orders, tracking deliveries, and maintaining material logs.
- Maintain accurate project documentation including drawing logs, submittal logs, specifications, and site instructions.
- Visit job sites periodically to take progress photos and document milestones and deficiencies.
- Attend site and coordination meetings and take clear, accurate meeting minutes for distribution.
- Communicate with subcontractors and suppliers to ensure schedule alignment and contractual compliance.
- Assist in preparing and tracking site instructions, change orders, and cost impact logs.
- Conduct field walks to support progress tracking, quality assurance, and deficiency documentation.
- Help prepare and coordinate project close-out documents including as-builts, warranties, and O&M manuals.
- Provide administrative support for weekly project meetings and maintain up-to-date records of action items.
Qualifications
- Diploma or degree in Construction Management, Engineering Technology, or a related field.
- 1–3 years of experience in a similar role in commercial or industrial construction preferred.
- Strong understanding of construction drawings, specifications, and submittal processes.
- Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with MS Project, Bluebeam, or Procore is an asset.
- Excellent organizational and time-management skills with attention to detail.
- Strong communication and interpersonal abilities.
- Ability to work in a fast-paced, deadline-driven environment with periodic travel to construction sites.
