Reports To: Senior Project Manager

Position Summary

We are seeking a highly organized and proactive Construction Project Coordinator to support project execution from pre-construction through to close-out. The ideal candidate will assist the project management team with documentation, communication, procurement, scheduling, and quality control. This is a critical role ensuring our projects are delivered on time, on budget, and to the highest standards.

Key Responsibilities

  • Assist Project Managers in preparing and maintaining project schedules, tracking milestones, and updating progress.
  • Coordinate and distribute RFIs, submittals, shop drawings, and change orders (PCNs).
  • Review RFIs and shop drawings for completeness and alignment with project specifications prior to submission.
  • Track and log RFI responses and submittal approvals to ensure timely follow-up and closure.
  • Support procurement by issuing purchase orders, tracking deliveries, and maintaining material logs.
  • Maintain accurate project documentation including drawing logs, submittal logs, specifications, and site instructions.
  • Visit job sites periodically to take progress photos and document milestones and deficiencies.
  • Attend site and coordination meetings and take clear, accurate meeting minutes for distribution.
  • Communicate with subcontractors and suppliers to ensure schedule alignment and contractual compliance.
  • Assist in preparing and tracking site instructions, change orders, and cost impact logs.
  • Conduct field walks to support progress tracking, quality assurance, and deficiency documentation.
  • Help prepare and coordinate project close-out documents including as-builts, warranties, and O&M manuals.
  • Provide administrative support for weekly project meetings and maintain up-to-date records of action items.

Qualifications

  • Diploma or degree in Construction Management, Engineering Technology, or a related field.
  • 1–3 years of experience in a similar role in commercial or industrial construction preferred.
  • Strong understanding of construction drawings, specifications, and submittal processes.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook); experience with MS Project, Bluebeam, or Procore is an asset.
  • Excellent organizational and time-management skills with attention to detail.
  • Strong communication and interpersonal abilities.
  • Ability to work in a fast-paced, deadline-driven environment with periodic travel to construction sites.
