What You'll DoExecutive Support
- Provide high-level EA support to senior leaders: manage calendars, inboxes, meetings, travel, and general admin
- Anticipate needs and help leadership stay organized, prepared, and ahead of deadlines
- Oversee client activity in CRM: track meetings, tasks, and follow-ups
- Coordinate schedules 2+ weeks in advance, ensuring nothing slips through the cracks
- Manage client touchpoints: confirmations, follow-ups, recaps, and special experiences (e.g., gifts, tickets, onboarding)
- Support with new business intake and client admin
- Foster a warm, professional, and efficient office environment for team and guests
- Manage supplies, inventory, snacks, deliveries, and vendor relationships
- Organize internal events, team celebrations, birthdays, and milestones
- Be the liaison with IT and building management to ensure smooth daily operations
- Greet clients warmly and ensure a top-tier in-office hospitality experience
- Oversee couriers, shipping/receiving, and delivery logistics
- Experienced: Background as an Administrative Assistant, EA, or Office Manager supporting senior executives
- Organized & Polished: Detail-oriented with a high level of professionalism
- Personable: Warm communicator who contributes to a positive team culture
- Tech-savvy: Proficient in CRM tools, Microsoft Excel, project management platforms; QuickBooks is a plus
- Proactive: A self-starter who takes initiative and handles tasks big and small
