Legal Administrative Assistant Emerging High-Growth Companies Group
Location: Downtown Vancouver | Hybrid (2 Days WFH Optional after probationary period)
Compensation: $55,000$68,000 annually
Our client, a prominent national business law firm, is currently seeking a Legal Administrative Assistant (LAA) to join their collaborative and high-performing Emerging High-Growth Companies group in their Vancouver office. This is an excellent opportunity for a motivated administrative professional to work alongside a close-knit team that values mentorship, organization, and positive workplace culture.
Key Responsibilities:- Provide proactive administrative support to a group of legal professionals (associates), including calendar and email management, electronic filing, and follow-up on actionable items.
- Coordinate and manage legal files in a data management system (iManage), and collaborate with other legal assistants as required.
- Assist with time entry and tracking, ensuring timely release of dockets and follow-up on outstanding entries.
- Manage new file openings, including New Business Intake (NBI) and Know Your Client (KYC) procedures.
- Support billing functions: generate and edit pre-bills, assist with client inquiries, and liaise with internal billing and collections teams.
- Assist with document formatting, audit responses, closing books, and creating internal/external presentation materials.
- Support client development efforts by maintaining lawyer bios and updating internal CRM tools.
- Coordinate travel, accommodation, internal/external meetings, and CPD tracking for legal professionals.
- Act as a first point of contact for clients and internal stakeholders, maintaining discretion and professionalism at all times.
- Minimum 1 year of experience as a legal assistant, ideally in corporate/commercial law (experience with M&A and finance considered a strong asset).
- Strong organizational and multitasking skills with a proactive mindset.
- Proficiency with Microsoft Word, Excel, PowerPoint; experience with iManage is an asset.
- Strong communication skills, attention to detail, and the ability to manage competing priorities under pressure.
- Positive, team-oriented attitude with a willingness to learn and take initiative.
