We are hiring for a full-time Operations Coordinator where you will bring experience in scheduling, operations, recruitment, and office administration. This is a fantastic opportunity to take the next step in your scheduling and operations career!

The Operations Coordinator is responsible for managing staff scheduling across GTA sites, ensuring timely communication, administrative support, and operational excellence. This role plays a critical part in staffing coverage, field coordination, onboarding support, and maintaining compliance with training and policy requirements. It also involves direct communication with team members, clients, and management to resolve issues and ensure smooth day-to-day operations.


Key Responsibilities

Scheduling & Coordination

  • Manage and maintain staff schedules for various GTA sites using WinTeam and Tractik.
  • Handle last-minute call-ins and shift adjustments to ensure continuous coverage.
  • Input, update, and revise schedules accurately within the system.
  • Collaborate with Field Supervisors andAccount Managers to anticipate and prepare for upcoming scheduling demands.
  • Assist Human Resources in succession planning, disciplinary events and in organizing coverage for planned or unplanned vacancies.

Administrative Support

  • Support the onboarding process for new security personnel, ensuring completion of administrative tasks and training compliance.
  • Maintain up-to-date scheduling records in alignment with regulatory requirements.
  • Facilitate communication between staff and management regarding employee relations and operational updates.
  • Respond to phone calls and emails from internal and external stakeholders in a prompt and professional manner.
  • Provide guidance to on-site security personnel in accordance with Standard Operating Procedures.
  • Troubleshoot and resolve operational issues; escalate complex matters to CSM as necessary.
  • Document incidents and service requests, including investigative reporting when required.
  • Demonstrate professionalism when handling conflicts and de-escalating tense situations.

After-Hours Support

  • Be available to manage urgent after-hours calls and operational concerns.

Required Qualifications

  • Completion of Grade 12 or equivalent (GED); a degree or diploma in law enforcement is highly preferred.
  • Prior experience in operations, scheduling, or supervisory roles.
  • Strong written and verbal communication skills with proven problem-solving abilities.
  • Familiarity with various scheduling models, tools, and platforms (e.g., continental, flexible, and standard shifts, WinTeam, TrackTik, Power Bi).
  • Power BI knowledge is a definite asset as it relates to weekly reports and dashboards involve pulling data from multiple sources and building visual KPIs, which demand strong technical skills. With an emphasis on accuracy, performance, and proper integration.
  • Proficiency in Microsoft Office Suite, particularly Word, Excel, and PowerPoint.

Preferred Knowledge and Experience

  • Working knowledge of the Private Security and Investigative Services Act (PSISA) and its regulations.
  • Awareness of Human Rights legislation, AODA, Diversity and Inclusion standards, and Health & Safety protocols.
  • Experience in a unionized or highly regulated work environment is an asset.
  • Ability to prioritize tasks and meet tight deadlines while working independently.
  • Fair, consistent, and service-focused approach when interacting with staff.
  • Highly motivated, detail-oriented, and capable of managing multiple responsibilities effectively.
  • Professional demeanor with the ability to represent Securiguard positively in all interactions.
  • Responsive, accountable, and proactive in both administrative and operational tasks.
  • Experience in lockdown reports.
  • Client liaison and experience in strategy on open hours, non billable overtime and WSIB
  • Working with subcontractors on scheduling and fill rates and placements
  • Weekly KPI monitoring, reporting and furcating
  • Review of pay and billing discrepancies
