We are looking for an Administrative Assistant to join our team at the Grimshaw location.

Roles & Responsibilities:

  • Support with general data entry and documentation across departments.
  • Assist the Controller with tasks such as entering journal vouchers (J/Vs), matching and entering AT extracts, maintaining transfer summaries, processing invoices, and supporting job costing.
  • Support payroll by entering timecards, sorting, and filing payroll-related documents.
  • Input weekly equipment hours to match NAPA invoices to work orders (WO) or repair orders (RO) for the Mechanical Administrator.
  • Assist the Safety Administrator with filing, coordinating safety visits to external shops, and supporting training initiatives.
  • Support the General Manager, Superintendents, and other staff with administrative tasks, such as scheduling, document preparation, travel booking, and coordinating information.
  • Provide backup reception support when needed, including answering phone calls, delivering and sending mail, and organizing or ordering office supplies.
  • Perform other administrative duties as directed.

Requirements:

  • Minimum two years experience in an administration, receptionist or office support role.
  • Post-secondary education in office administration or a related field is considered an asset, but not required.
  • Must possess a high level of moral judgment for handling confidential information and monetary transactions.
  • Reasonable level of proficiency with Microsoft Office suite.
  • Effective attention to detail and a high degree of data entry accuracy.
  • Strong work ethic and positive team attitude.
  • Able to effectively communicate both verbally and in writing.
  • Strong problem-solving and organizational skills.
