We are currently seeking a highly organized, professional, and motivated Administrative Legal Assistant to join our team. This position is ideal for a candidate who thrives in a client-facing role and enjoys contributing to the operational success of a growing law firm.

Position Summary

The Administrative Legal Assistant will report directly to the Principal Lawyer and will be responsible for a wide range of legal, administrative, and client service functions. This is a pivotal role requiring strong attention to detail, discretion with confidential information, excellent interpersonal communication, and the ability to manage competing priorities in a professional legal setting.

Primary Responsibilities

Legal Administrative Support

  • Provide comprehensive administrative and legal support to the Principal Lawyer and associates.

  • Prepare, format, revise, and proofread a wide range of legal documents and correspondence, including:

    • Client letters, legal memoranda, pleadings, affidavits, undertakings, real estate closing documents, and immigration forms.

  • Coordinate the preparation and filing of court documents with Alberta Courts and applicable tribunals using electronic and in-person procedures.

  • Open, maintain, and close client files in accordance with Law Society of Alberta record-keeping requirements and firm procedures.

  • Conduct limited legal research under supervision (e.g., caselaw citations, procedural rules).

  • Prepare physical and digital file briefs for hearings and trials.

  • prepare documentation for residential real estate closings and immigration application submissions.

Client Relations & Communications

  • Act as the first point of contact for clients and external parties, ensuring a courteous, respectful, and professional approach in all interactions.

  • Schedule client appointments, court dates, and meetings with attention to time sensitivity and confidentiality.

  • Draft routine client communications and follow-up reminders under lawyer instruction.

  • Coordinate client intake processes, conflict checks, and Legal Aid Alberta submissions (where applicable).

Office Management & Administration

  • Answer multi-line phone system, manage email correspondence, and respond to inquiries in a timely and professional manner.

  • Maintain a clean, organized, and welcoming office space.

  • Organize incoming and outgoing mail, couriers, document service, and deliveries.

  • Maintain office calendars, task lists, and limitation diary systems with precision.

  • Monitor and restock office supplies; liaise with suppliers and vendors as required.

  • Provide support in bookkeeping processes, including time entry, invoicing, and expense reconciliation using accounting or practice management software.

Required Qualifications & Experience

  • Education: Legal Assistant Certificate or Diploma from a recognized post-secondary institution (strongly preferred).

  • Experience: Minimum 1–2 years of experience in a law firm or legal office environment (required).

  • Proficient in Microsoft Office Suite (Word, Excel, Outlook), Adobe Acrobat, and legal document formatting.

  • Familiarity with legal practice management software (e.g., Clio, Cosmolex, PC Law, or similar) is an asset.

  • Knowledge of court filing procedures (e-filing, CAS, and Alberta Court portals) and relevant legal forms.

  • Understanding of confidentiality obligations under the Legal Profession Act (Alberta) and Rules of the Law Society of Alberta.

  • Excellent command of written and spoken English.

  • Strong organizational and time management skills with the ability to work independently under minimal supervision.

  • High level of professionalism, integrity, and discretion in handling confidential matters.

Preferred Competencies

  • Experience supporting more than one legal practice area (e.g., criminal law and real estate).

  • Prior work with Legal Aid Alberta submissions and billing procedures.

  • Familiarity with court procedures, Registry operations, and courthouse filing practices in Calgary.

  • Client-focused and culturally sensitive approach in dealing with diverse populations, including vulnerable or marginalized individuals.
