Position Overview
Reporting to the Executive Director, the Operations Manager will oversee and support all operational, administrative, and resourcing functions vital to the smooth, efficient running of the agency. Working closely with leadership and department heads, this role ensures teams are wellsupported, resources are allocated effectively, and daytoday operations run seamlessly. The ideal candidate is organized, proactive, collaborative, and adept at managing multiple priorities in a solutionsfocused environment.

Responsibilities
Manage the day-to-day operations of our downtown Toronto office:
- Open and prepare office daily; ensure a welcoming and organized environment for staff and visitors.
- Maintain office tidiness and inventory, including office supplies.
- Oversee and process incoming/outgoing mail, packages, and deliveries.
Provide high-level administrative support to the Executive Director and leadership team:
- Schedule group meetings, maintain calendars, conduct research, and prepare reports.
- Identify opportunities for process and office management improvements.
- Manage and track company licenses and subscriptions.
Support agency culture and team engagement:
- Assist with planning and execution of company socials, celebrations, and seasonal events.
Support business operations and marketing:
- Participate in digital marketing report reviews, business proposal preparation, management of awards submissions, and development of case studies and other marketing collateral.
Resource management (as primary backup to the Resource Manager):
- Oversee daily and weekly resource allocation across creative, copy, technology, and digital media teams during absences.
- Ensure projects are appropriately staffed based on skillsets, priorities, and deadlines.
Provide other administrative support as needed to ensure the smooth functioning of the agency.
Qualifications
- 25 years of experience in an administrative, office management, or operations-related role.
- Bachelors degree in business administration, communications, or a related field preferred.
- Highly organized and detail-oriented.
- Strong time management and the ability to prioritize multiple projects.
- Demonstrated ability to work independently and proactively in a fast-paced environment.
- Proficient in Microsoft Office Suite and Google Workspace.
- Excellent written and verbal communication skills.
- Strong interpersonal and collaborative abilities; customer service mindset.
- Proven analytical and creative problem-solving skills.
- Able to be on-site at our downtown office a minimum of 3 days per week.
Nice to Have
- Experience with financial operations, bookkeeping, or accounting; advanced Excel skills.
- Familiarity with resource management tools (e.g., NetSuite, Basecamp).
