Part-Time Receptionist (September–April, Tuesdays & Thursdays)
Location: St. Catharines, ON
Schedule: Part-Time | Tuesdays & Thursdays | September–April
Start Date: Early September 2025

About the Role
We're looking for a highly organized and personable Receptionist to support the smooth operation of our office. As the first point of contact for visitors and callers, you'll help create a welcoming environment while juggling a variety of administrative, technical, and support tasks across several departments. This is a part-time position, ideal for someone looking to contribute to a dynamic team environment on a consistent schedule.

Key Responsibilities

Administration (40%)

  • Answer and direct phone calls, taking clear, detailed messages as needed
  • Maintain and refresh filing systems (annual filing refresh mid-October)
  • Attend monthly staff meetings (7:30am off-site, excluding July; August includes a staff BBQ)
  • Organize office documents, including vendor payments, payables, and client receivables
  • Track staff vacation and sick time
  • Create and print labels for internal use
  • Collect, sort, and distribute mail daily; manage outgoing weekly mailings
  • Maintain WSIB certificates and insurance documentation
  • Provide basic personal assistant support for executive scheduling
  • Assist with business-related research when required
  • Maintain organization across kitchen, storage areas, and bathrooms
  • Order office supplies for three units
  • Manage the phone system, including updating voicemail for holidays
  • Maintain vehicle files, gas usage, and credit card records

Parts/Service/Technical Support (20%)

  • Process shipping orders following internal procedures
  • Place product orders and coordinate with team members
  • Maintain the Supply Binder for pending orders and inventory tracking
  • Arrange for deliveries when the office is closed
  • Receive, log, and distribute incoming packages

Accounting Support (20%)

  • Prepare and make bank deposits
  • Process incoming credit card payments
  • Match statements and checks with accounts payable
  • Organize receipts and credit card documentation
  • Apply payments to invoices and maintain filing systems

Sales Support (20%)

  • Coordinate accommodations for traveling team members
  • Update HubSpot CRM upon order completion
  • Process sales-related credit card payments and update deal statuses
  • Provide general administrative support as needed

What You Bring

  • Strong organizational and multitasking skills
  • Friendly and professional communication skills
  • A proactive attitude and willingness to support multiple departments
  • Previous experience in an administrative or receptionist role is an asset
  • High school diploma or equivalent (Bachelor's degree preferred).
  • Previous experience in administrative or receptionist roles.
  • Familiarity with basic accounting tasks and QuickBooks.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Excellent verbal and written communication abilities.
  • High attention to detail and ability to work independently.
  • Problem-solving skills and the ability to prioritize tasks effectively.

Additional Notes

  • Training on internal platforms such as HubSpot and Geotab will be provided
  • Candidates must be available to work in-person every Tuesday and Thursday, from September to April
