We are the behind-the-scenes enablers who support staff through thoughtful systems, responsive service, and reliable tools that help them focus on advancing the institute's mission. From onboarding and internal communications to document management and office infrastructure, we take care of the essential functions that keep things moving. As a central hub, we work closely with teams across the organization to uphold shared standards and foster a cohesive, people-centred workplace. Our goal is to create an operational environment that empowers impact.The opportunityReporting to the Manager, Operations, the Lead is primarily responsible for overseeing operational processes related to staff onboarding and offboarding, and general office and phone management. As a member of the Operations team, the incumbent will also provide support on other general operations tasks.Your key responsibilities
- Lead and coordinate operational tasks related to employee changes — including onboarding, offboarding, and job transitions — in collaboration with human resources and relevant teams.
- Deliver operational onboarding training and conduct touchpoints to ensure new employees are equipped with essential tools and knowledge.
- Maintain accurate and up-to-date employee and operational data across Microsoft 365 and other internal systems.
- Serve as the first point of contact for internal and external inquiries directed to the Operations team's general inboxes, providing timely and professional support.
- Monitor and support consistent operational standards across all offices, conducting reviews and addressing equity considerations as directed.
- Manage procurement and inventory of office supplies to meet day-to-day operational needs.
- Oversee the organization-wide phone system, including user setup, reception duties, voicemail management, inquiry redirection, and holiday scheduling.
- Provide support with document management systems and contribute to broader operational and administrative tasks, including coverage during team absences.

Proficient in Microsoft 365 and other operational tools, you're eager to adopt new technologies and continuously improve how work gets done. - A bachelor's degree in business administration, operations management, or a related field is preferred.
- Minimum of one year of experience in an administrative or operations role within a professional environment; a combination of education and relevant experience will be considered.
- Proficiency in Microsoft 365 applications and document management systems within a PC-based setting.
- Experience with change management initiatives is strongly preferred.
- Experience working with CRM platforms such as Salesforce is considered an asset.
- Background in a front-facing customer service role is considered an asset.
- Experience working or volunteering in a not-for-profit organization is considered an asset.
