Position Summary

The IT Automations Operator is a key player in delivering secure, high-volume print and digital communications for clients in industries such as banking, insurance, and retail. This role is responsible for monitoring and maintaining enterprise automation systems used in file transfers, job scheduling, document generation, and workflow orchestration. You will ensure the reliability of critical client-facing systems, support users, and troubleshoot integrated solutions spanning from data ingestion to final delivery of print and digital products to AIIMs clients.

Key Responsibilities

  • Monitor scheduled jobs and automated workflows using iControlZone, custom automations and ActiveBatch, ensuring timely and accurate execution of print and digital document processes.
  • Respond quickly to system alerts, job failures, and error messages to minimize downtime and meet client SLAs.
  • Troubleshoot and resolve issues in file transfers and system integrations, including CompleteFTP, BitVise, GlobalScape, FileZilla, and WinSCP.
  • Support and configure secure file transfer operations across SFTP and HTTPS protocols in compliance-heavy environments.
  • Provide Tier 1 and Tier 2 technical support for external and internal users of automation systems, user portals, and document delivery platforms.
  • Collaborate with operations, customer service, and development teams to ensure the smooth delivery of mission-critical documents including statements, policies, regulatory notifications, and marketing materials.
  • Integrate and troubleshoot data flows between systems such as AIIMs PCMS ERP, 2Ship, XMPie, OMS, Quadient Inspire, Adobe Acrobat, MailJet to support automated output processes.
  • Administer user accounts and permissions for automation platforms, portals, and transfer tools.
  • Document recurring issues, fixes, system configurations, and runbooks in accordance with AIIMs change management practices.
  • Participate in deployment and configuration of new automations, providing end-to-end testing and validation of their effectiveness and compliance with client requirements and AIIMs data management policies.

Technical Environment

This role operates in a complex IT ecosystem designed for high-security and high-volume document production:

  • Automation Platform: iControlZone, Custom Automations, ActiveBatch
  • File Transfer Systems: CompleteFTP, BitVise, GlobalScape, FileZilla, WinSCP
  • Operating Systems: Windows Server 2016 and later, M365
  • Databases: Microsoft SQL Server (T-SQL proficiency preferred)
  • Document Composition Tools: Quadient Inspire, Adobe Acrobat
  • Print Providers: Ricoh, Xerox
  • Shipping/Logistics Integration: 2Ship
  • Protocols: SFTP, HTTPS
  • Scripting/Automation: PowerShell (preferred)
  • Languages/Frameworks: C#, .NET Framework/Core

Qualifications

Education & Experience

  • Associates or Bachelors Degree in Computer Science, Information Technology, or a related discipline.
  • Minimum 3 years of experience in IT operations, automation, or document workflow support.
  • Prior experience working with clients in banking, insurance, or retail strongly preferred.

Skills & Competencies

  • Strong problem-solving skills and attention to detail.
  • Comfortable working in a 24/7 production support environment with tight SLAs.
  • Excellent communication skills for client-facing support and cross-functional collaboration.
  • Demonstrated experience with automation, enterprise file transfers and job scheduling systems.

Work Conditions

  • May require evening, weekend, or on-call support to ensure round-the-clock system reliability.
  • Role may be hybrid or on-site depending on client needs and internal operations.
