Nature and Scope
Reporting directly to the Senior Manager, Student Life, this position supports the planning, coordination, and delivery of events and activities that contribute to a vibrant student life experience at Algonquin College. Working closely with the Events Programmer, the Events Associate assists in executing a wide variety of student-focused programs and occasionally leads smaller-scale events or initiatives independently. The program must contribute to the Students' Association's strategic vision of creating a prideful and spirited campus while upholding the professional image of the SA and respecting the impact programming has on the Algonquin community.
Job Duties
- Assist to develop and implement a well-rounded annual program of events by sourcing various appropriate entertainers, speakers, and event concepts to respond to expressed student interest and the diverse Algonquin student population.
- Assist with the organization and delivery of campus events, including booking spaces, setting up logistics, and coordinating with vendors and stakeholders.
- Take the lead on small to mid-sized events or specific components of larger events (e.g., managing registration, coordinating volunteers, liaising with performers).
- Work with the Students' Association Clubs & Communities' Coordinator to facilitate events and create partnerships with campus clubs & community groups.
- Support contract preparation and logistical details for vendors and performers as needed.
- Work with managers, SA board members, and staff from all areas of the Students' Association to host or help facilitate events in all SA areas.
- Ensure open and clear communication between departments at all times, and verify that events adhere to all policies and standards for each area.
- Work with students and staff in residence, academic programs, and outside organizations to create new events and activities.
- Guide Events Assistant in event planning and promotion of all SA events.
- Act as a resource to the Client Service Associate (Perth campus) in establishing ideas for small-scale activities.
- Communicate and coordinate each event with all stakeholders by ensuring open and clear two-way communication with all parties of an event. Use tools like Backstage and Basecamp to ensure information is always up-to-date.
- Ensure SA branding is used appropriately and that guests are aware that the Students' Association is responsible for presenting the events or services planned by the Events Programmer.
- Support the Marketing Manager with all activities put on by the events Promo Team (including training, scheduling, and planning). This Promo Team will work to actively promote awareness, attendance, and participation in activities on campus.
- Actively seek out feedback following each programmed event and research the ever-changing interests of Algonquin students.
- Rearrange or move furniture and fixtures to accommodate staging/event space for events when required.

Desired Skills and Qualifications
- Post-secondary diploma or relevant experience in Event Management, Hospitality, or related fields.
- Strong communication skills, both written and verbal.
- 1-2 years of experience in events, promotions, or customer service roles preferred.
- Ability to work independently and in a team environment.
- Willingness to work occasional evenings and weekends.
- G-Class Driver's License will be seen as an asset.
- The ability to lift at least 40lbs will be an asset.
Compensation
- This position pays $23 per hour
- This is a term position scheduled between 20 to 35 hours per week over a 9-month term. Hours will vary based on operational needs, event schedules, and seasonal activity.
- Evening and weekend work will be required on occasion, depending on event timing. This is an on-site position with no remote or hybrid work options.
