Role Status: Full Time, In-Person. This role is Monday to Friday and takes place on the upper floor of our Bonnie Doon Banking Centre located at 8723 - 82nd Avenue, Edmonton.

We're looking for a Wealth Executive Coordinator to support our Wealth Management team in our Wealth Strategies Operations area.
The Wealth Executive Coordinator is accountable for providing complex and confidential support to the Wealth Management senior leaders and Estate & Trust team.
This position is accountable for taking a lead role in establishing a priority of workflow in handling a variety of initiatives that require leadership and judgment while maintaining complete confidentiality.
Tactful and effective communication is essential to skillfully relate with Members, Servus staff, SWS Advisors, Wealth Managers and Concentra Trust as well as external professionals such as lawyers and accountants.
More specifically, the scope of your responsibilities in the areas will include but are not limited to:
- Coordinate meetings for Wealth Management leadership and the Estate & Trust Specialists; utilizing corporate vehicles, preferred accommodations etc.
- Reconcile Concentra commission cheque with MTS report and provide Business Analyst with information for management reports.
- Liaise with Business Analyst to generate monthly reports, including monthly reporting for Concentra Trust and other various Wealth Management sales measures.
- Front desk reception and related duties such as greeting visitors, handling daily mail correspondence and screening phone calls.
- First point of contact for Estate & Trust department, answer service related inquiries and provide ongoing service to members in conjunction with the Estate & Trust Specialist.
- Lead internal campaign communications which includes developing the guidelines and instructional communications as well as communicating results to internal partners.
- First point of contact to organize and assist Wealth Management team in the facilitation of conference calls, preparing agendas, meeting materials, catering if needed, and attending meetings to record minutes and action items. Track and follow up on resulting meeting projects and commitments. Maintain a budget.
- Manage SWS team site on Share Point, ensuring all documents are posted and organized.
- Manage SWS content on the Village, ensuring material is up to date and all documents are posted and organized including updates to the Wealth Management Directory.
- Comply with Estate & Trust Service standards and procedures such as file completion, reporting & tracking of member meetings/sales. Ensure all documentation to/from the Lawyer are prepared, forwarded and input into the Concentra Members Trust Software.
- Work with business analyst to audit monthly reports.
- Maintain confidentiality on all matters and exercise discretion and sound judgment at all times.
Requirements
Experience:
- Minimum 3 - 4 years of experience in an office administration and/or executive assistant environment dealing with internal and external contacts.
- Experience in the financial industry (financial planning, banking, etc.) is preferred, with experience in the estate & trust industry considered an asset.
- General knowledge of the financial planning industry and awareness of the Canadian Credit Union System are highly desirable.
Education and Training:
- High School graduate supplemented with post-secondary education in an office careers program
- A college diploma or university degree is considered an asset as is project management experience
Optional Licenses/Certificates:
- SABA Meeting, expert level
- Ongoing training or certificates within the financial industry are a definite asset i.e. CSC course.
