Position Title: Grant Coordinator
Reports to: Director, Finance & Administration
Location: Hybrid
Status: Full-Time, Permanent

Position Summary

We are seeking a highly skilled, detail-oriented Grant Coordinator with strong financial acumen and extensive experience in funder reporting and financial reporting. This is a new role designed to bring structure, process, and accountability to our grant management function. The successful candidate will play a lead role in developing and implementing efficient grant management systems, ensuring compliance with all funder requirements, and working closely with program and finance teams to deliver accurate, timely, and complete grant reporting.

At any given time, the organization manages approximately 25 active grants across multiple funders, funding streams, and reporting timelines. This position requires someone who is proactive, systems-oriented, and thrives in problem-solving and building processes from the ground up.

Key Responsibilities

Grant Administration & Compliance (35%)

  • Develop, implement, and maintain comprehensive grant management processes, systems, and tools.
  • Serve as the organizations central point of coordination for all grants, ensuring full compliance with funder reporting requirements, timelines, and financial obligations.
  • Track and maintain grant calendars, reporting deadlines, renewal timelines, and key deliverables.
  • Ensure proper documentation, filing, and audit readiness for all grant records.
  • Serve as a liaison between program staff, finance, and funders to ensure timely submission of reports.

Financial Reporting (40%)

  • Prepare, review, and submit financial reports and budget reconciliations for funders in collaboration with the Finance Director.
  • Monitor grant expenditures to ensure alignment with approved budgets, flagging any variances or concerns.
  • Work with Directors and Managers to track spending against grant budgets, ensuring funds are used in accordance with grant agreements.
  • Support annual audits related to grant funding.
  • Support financial forecasting and modeling support related to grant-funded programs.

System Development & Process Improvement (15%)

  • Support the research, evaluation, and implementation of a grant management software system to improve workflow and reporting.
  • Identify gaps, inefficiencies, and risks in current grant administration processes and recommend practical solutions.
  • Build staff capacity by developing tools, templates, and processes to improve grant management across departments.

Collaboration & Communication (10%)

  • Work closely with Directors and Managers to coordinate the preparation of grant reports and funder communications.
  • Provide regular updates to leadership on grant status, reporting timelines, and compliance risks.
  • Support proposal development and budget preparation as needed.

Qualifications & Experience

  • 5+ years of experience in grant applications, management and funder reporting and compliance roles (non-profit or public sector experience strongly preferred).
  • Strong financial background with experience in financial reporting, budget management, and variance analysis (accounting designation, certificate or diploma an asset).
  • Strong collaboration and communication skills; ability to work effectively across multiple departments and with external funders.
  • Advanced proficiency in Excel and other financial management tools; experience with grant management software is a strong asset.
  • Excellent problem-solving skills with the ability to build structure in ambiguous or disorganized environments.
  • Exceptional organizational skills and attention to detail.
