Position Overview

Receptionist reports to the General Manager and is expected to provide courteous and efficient telephone, reception, and clerical support to all clients and assists with clerical duties in the Home. The receptionist is responsible for receiving and directing visitors and inquiries, relaying and coordinating Resident and associate messages by use of telephone and intercom and maintaining a record of persons entering and leaving the community.

Responsibilities

  • Pleasantly receives all persons entering the building, recognizing that he/she is the first impression of the community,
  • Answers the phone using the appropriate phone etiquette,
  • Provide direction to visitors and callers and/or notify appropriate people as required,
  • Is aware of and respects and promotes the Residents' Bill of Rights,
  • Maintains a daily log of visitors,
  • Processes meal tickets as required,
  • Provides administrative support to the Management Team through word processing, and other requests directed by the General Manager,
  • Provides support with marketing initiatives,
  • Presents a positive approach, not controlling language and actions towards people,
  • Attends to the needs of the residents and/or notify appropriate people as required,
  • Completes routine forms as required or directed. Maintain current knowledge of information required by various government or other agencies regarding residents,
  • Understands and adheres to policies of the community,
  • Maintains confidentiality of all financial, personnel and resident data,
  • Be knowledgeable of and practice residence's fire and safety programs,
  • Partners with community team to ensure community is in compliance with Occupational Health and Safety requirements and promotion of Risk Management programs and/or policies; adherence to safety rules and regulations,
  • Any and all other tasks as assigned

Qualifications

  • Completion of Grade 12 is preferred,
  • Proficient in Microsoft Office Suite,
  • Must be able to speak, read and write English and to follow oral and written directions in the English language, second language an asset,
  • Previous employment in a health care/hospitality setting an asset,
  • Demonstrated understanding of/empathy for the needs of seniors,
  • Must have a passion for working with seniors,
  • Ability to work from the heart and make others smile,
  • Ability to demonstrate care in use of supplies and equipment, and the ability to maintain neat work area,
  • Good organizational skills,
  • Ability to work independently,
  • Must be level headed and calm in emergencies,
  • Clear vulnerable sector screening (w/ in last 6 months), recent TB test results (w/ in last 6 months) or Chest X-Ray (w/ in last 1 yr), and two supervisory references required.
