Our client, The Jilly Box, was founded in 2019 by Jillian Harris and her business partner, Tyler Evans. The Jilly Box is a curated quarterly lifestyle subscription box filled with products loved by Jillian Harris and Team Jilly Box. Their team is passionate about supporting small, eco-friendly, diverse, and cruelty-free brands from across North America. Each box contains various brands that range from home decor, fashion, bath, beauty, health and wellness, all while keeping seasonality top of mind! Oftentimes you can find a custom item or two within The Jilly Box that has been designed exclusively by Jillian and Team Jilly Box.

They are currently looking to add a new administrative position to their growing team in Kelowna, BC in the capacity of Technical Administrator. This hands-on role is well suited to someone who loves spreadsheets, is comfortable learning any kind of software, communicates well with people, and notices the details that others miss.

Working with spreadsheets is a vital part of this role, as there is a lot of data exporting, importing, charting, and reporting. The spreadsheets are used to present information, but also to update product entries, create and change marketing data, and a wide variety of other purposes.

This role also helps internal team members who are having technical issues. The successful candidate will guide people through documented, standard procedures to resolve most common issues, but if they don't work, other technical team members will jump in to help.

This role will work closely with their team members to keep our operations running smoothly and grow our capabilities by learning how to perform routine maintenance on our systems, track our assets, create & maintain procedure documents, and help with our product launches. Things change fast in eCommerce, and there will always be something new to learn!

Additional responsibilities will include:

Launch and E-commerce Support
  • Manage and update our data between various services like Shopify & Klaviyo.
  • Support operations and launches by helping with setup, data synchronization, and user testing.
  • Create and update products in Shopify.
  • Maintain and update customer properties in Klaviyo.
  • Assist with occasional after-hours product or sale launches or takedowns
    • With team support
    • Typically 2 - 4 times a year

System and Tool Management

  • Manage user access and permissions in various services
  • Maintain backups
  • Create and update internal documentation

Reporting and Data Services

  • Build custom reports and dashboards using exported data and spreadsheets
  • Segment customer lists for marketing and insights
  • Ensure data consistency and accuracy across sources

Internal IT and User Support

  • Act as primary contact for internal tech support, most often remotely.
    • Work through standard procedures to resolve, commonly on a shared screen.
    • Other team members will help if the standard procedures don't take care of the issue.
  • Manage onboarding/offboarding.
  • Help teach team members about features by producing demos and training material.
  • Create and maintain documentation on our systems and features.
  • Monitor and report on support trends

Systems Oversight

  • Manage hardware inventory (laptops, iPads, monitors)
  • Liaise with vendors and service providers
    • Primary point-of-contact
    • Update and maintain billing information
  • Manage domain registrations
  • Manage software license renewals and assignments

Requirements
  • Trustworthy, conscientious, detail-oriented, and a clear communicator;
  • Self-confident and level-headed under pressure;
  • Comfortable with technology, eager to learn, and collaborative;
  • Passionate about systems, processes, documentation, and helping others;
  • Logical thinker who enjoys working with numbers and data;
  • Proficient with spreadsheets (especially Google Sheets);
  • Comfortable with cloud-based office apps, such as Google Workspace (Sheets, Docs, Gmail, Slides, Calendar, Drive);

Considered An Asset:

  • Experience with Shopify product setup, data export/import, and collections;
  • Experience with Klaviyo segmentation and data management;
  • Familiarity with
    • Google Workspace admin
    • 1Password
    • macOS/iOS
This is a hybrid role, requiring you to be in the office each week. Relocation is required if you don't currently live within commuting distance of their Kelowna, BC, office. This exciting full-time opportunity offers a competitive salary of $55,000–$60,000 per year, depending on experience.
