FRONT DESK ADMINISTRATOR

Description

As the first point of contact for all visitors to our head office, the Front Desk Administrator plays a key role in creating a warm, professional, and welcoming environment. This position is central to supporting our Deals team, internal departments, Realtors, and clients both internal and external. This individual would have a positive, unwavering attitude, strong customer service skills, and the ability to thrive in a fast-paced setting. A keen eye for detail, clear communication, and the ability to stay composed under pressure are essential to success in this role.

This is a fixed term contract covering a mat leave for one year.


Responsibilities

Compliance and Quality Control:

  • Validate pending documents to ensure they meet compliance standards.

Agent Support and Communication:

  • Serve as a primary point of contact for agents, addressing inquiries regarding transactions, commission payments, and other related matters.
  • Remind and follow up with agents to submit required paperwork, such as listing agreements, for deals processing.
  • Respond promptly to inquiries from agents, branch administrators, and the accounting department.
  • Welcoming guests to offices and providing great customer experience.
  • Opening and routing couriers and mail and handling incoming/outgoing faxes.

Transaction and Cheque Coordination:

  • Coordinate and distribute commission and client cheques.
  • Communicate with cooperating brokerages and lawyers regarding transactions and follow up on commission cheques.
  • Correspond with branch administrators to facilitate transaction and cheque-related processes.
  • Confirm closing details for sales and lease transactions.

Other Duties:

  • Perform additional tasks as assigned by Management.

Talent Specs

  • Prior experience in the real estate industry is an asset.
  • Strong customer service skills with the ability to remain calm and efficient in a fast-paced environment.
  • Excellent communication and interpersonal abilities.
  • Proficiency in software tools such as Adobe, Microsoft Outlook, and LoneWolf/BrokerWolf (an asset).
  • Strong analytical and organizational skills.
  • Ability to work independently while also collaborating effectively within a team.
  • Capable of managing multiple priorities and meeting tight deadlines in a busy office setting.
