About the Role

The Office Services Coordinator & Receptionist is a crucial member of the People & Culture team, serving as the first point of contact for employees, visitors, and vendors at our Toronto office. This role is pivotal in delivering exceptional client service by anticipating needs, acting with urgency, and ensuring a seamless office experience for all. The Office Services Coordinator & Receptionist will oversee office operations, reception duties, and ensure the office environment supports productivity and comfort. They will also play a key role in creating a welcoming atmosphere while upholding high standards of service, safety, and cleanliness. We are looking for a detail-oriented, proactive individual who is passionate about sustainability and contributing to the clean energy transition.

Duties & Responsibilities

  • Warmly greet and direct visitors, ensuring their needs are met with attention to detail and hospitality, while managing access efficiently.
  • Answer phone calls promptly, process packages, mail, and faxes with a sense of urgency and accuracy.
  • Serve as the main point of contact for all deliveries and couriers, ensuring smooth coordination and timely execution.
  • Arrange catering for office meetings and events with an emphasis on quality and presentation, contributing to a positive guest experience.
  • Ensure meeting rooms and office spaces are maintained to a high standard, anticipating needs and proactively addressing any issues.
  • Keep shared areas clean, organized, and well-stocked, ensuring office equipment functions optimally and supplies are readily available.
  • Maintain inventory of office supplies, handle purchasing, and ensure proper coding of purchase orders and invoices in the accounting system.
  • Ensure emergency equipment is well-maintained, including first aid kits and fire extinguishers, ensuring safety standards are met.
  • Coordinate repairs and services for office equipment to minimize downtime and maintain operational efficiency.
  • Liaise with building management on facility-related items, including access passes and maintenance requests.
  • Effectively communicate with internal departments, coordinating projects, activities, and office needs to ensure smooth operation.
  • Manage meeting room bookings and set up, ensuring materials and video conferencing systems are ready, and providing technical assistance as needed in collaboration with IT.
  • Act as a fire warden and participate in the office health and safety committee, supporting safety initiatives under the Health and Safety Manager's guidance.
  • Sort and distribute mail and internal communications with precision and assist with document management tasks such as printing and photocopying.
  • Provide administrative support to senior management, anticipating their needs and helping them manage their responsibilities efficiently.
  • Take on additional administrative tasks and special projects as needed, demonstrating flexibility and a proactive approach to problem-solving.

Desired Knowledge, Skills & Experience

  • 1-3 years of experience providing support in an office environment, preferably in a customer service-focused role.
  • Outstanding customer service skills with the ability to anticipate needs and deliver solutions swiftly.
  • Excellent verbal and written communication skills, with an emphasis on clarity and professionalism.
  • Proficiency in Microsoft Office Suite and a willingness to learn new technologies.
  • Strong attention to detail, with the ability to manage multiple tasks and prioritize effectively in a fast-paced environment.
  • A proactive approach to problem-solving and the ability to work both independently and collaboratively.
  • Flexibility and adaptability to thrive in a dynamic office environment.
