DUTIES:

Reporting to the Manager of Provincial Offences for the municipal POA court for the Windsor/Essex Court Service Area, the successful applicant will carry out administrative functions of the Provincial Offences Court including processing payments on the ICON system, preparing notices of Early Resolution Meetings, probation orders and other court documents, scheduling court cases, preparing daily cash deposits, utilizing various ICON screens reconciling payment, maintaining office supplies, inventory and court records. Will back-up the court reporter on French Trial days. Will process appeal applications once they are returned from the Ontario Court of Justice. Provide quality customer service, at the counter and on the telephone, to the general public, enforcement agencies and the legal profession with respect to inquiries regarding fines, court dates, and status of charges before the court, times of court and court administrative procedures regarding fine payments, guilty pleas, re-openings, time limits, and forms to be completed. Provide administrative support services to the judiciary in respect to answering telephones, taking messages and preparing necessary documentation for guilty pleas, re-openings, and court orders including bench warrants and recognizance orders. Perform other related duties as assigned; including provision of administrative/clerical support services to City personnel. Will perform Occupational Health & Safety duties as outlined in the Corporate Health & Safety program.

QUALIFICATIONS:

  • Must have a University Degree in Business or Law or Ontario Ministry of Education equivalency and a minimum of one (1) year of front-line customer service experience dealing directly with the public preferably in a legal or court administration environment.
  • OR Must have a post-secondary school community College Diploma in Business or Law or Ontario Ministry of Education equivalency and a minimum of two (2) years of front-line customer service experience dealing directly with the public preferably in a legal or court administration environment.
  • OR Must have an Ontario Secondary School Graduation Diploma with one (1) year additional post-secondary courses in Business or Law or Ontario Ministry of Education equivalency and a minimum of four (4) years of front-line customer service experience dealing directly with the public preferably in a legal or court administration environment.
  • OR Must have an Ontario Secondary School Graduation Diploma or Ontario Ministry of Education equivalency and a minimum of six (6) years of front-line customer service experience dealing directly with the public preferably in a legal or court administration environment.
  • Must be bilingual in French.
  • Must have a demonstrated ability to work with Microsoft Word, Outlook and Excel.
  • Must have proven communication and interpersonal skills, as well as the ability to establish and maintain effective relationships with City representatives, enforcement personnel, other agencies and the general public.
  • Must have strong organizational and multi-tasking skills with the ability to work both independently and in a team environment.
  • Must have the ability to function effectively in a high-volume workplace within rigid time frames and to deal tactfully with the public, the judiciary and all levels of staff, enforcement agencies and the legal profession.
  • Must have the ability to deal appropriately with contentious situations and to exercise discretion, judgment, diplomacy and confidentiality.
  • Should have knowledge of the Occupational Health & Safety Act, its regulations and knowledge of the hazards associated with the work.
  • Knowledge of the Provincial Offences Act and the regulations under governing provincial offences administration will be considered an asset.
  • A working knowledge of the ICON system will be considered a definite asset.
  • The physical demands analysis associated with this job indicates a limited / sedentary level of work.
