The Office of Vocation, Theology and Ministry Leadership Unit of The United Church of Canada is seeking an individual to fill the role of Administrator for the Office of Vocation, on a permanent full-time basis at 35 hours/week.
The Theology and Ministry Leadership Unit brings together all the pieces relating to leadership, taking seriously the understanding of the ministry of the whole people of God, and includes the Office of Vocation, which is responsible for the assessment, candidacy and accreditation of ministry personnel, the standards of practice and ongoing oversight and, when necessary, discipline, of ministry personnel, and Pastoral Relations, Member Engagement, the work of the Theology and Inter-Church Inter-Faith Committee (TICIF), and relationships with United Church theological schools.
The Administrator Office of Vocation is responsible for records and information management for ministry personnel. They develop and implement processes for the effective and efficient running of the Office of Vocation Candidacy Program. They manage and coordinate information systems, data files and ministry students, at the theological schools of the United Church, ensuring data integrity.
Primary Areas of Responsibility- Records and Information Management for Ministry Personnel: Organize files from multiple sources for data collection and analysis and archival purposes; Manage workflow process for the Office of Vocation, Update and maintain applicant files and liaise with Registrars of Theological Schools.
- Program Support and Coordination:.Works with legal counsel and consultants for complaints process, develop and implement standards and administrative protocols for for responding to and managing initial inquiries about the Admissions process and Candidacy Pathway;
- Board and Committee Support: Coordinate logistics for Candidacy Board in-person meetings and discernment events; Provide technical support to the Vocational Ministers in on-line program delivery such as Educational Supervisors' gatherings.
- Post-secondary education (3-year undergraduate degree) with training in administration practices or an equivalent combination of education and experience
- 3-5 years of experience in administration, records coordination/management in an educational institution.
- Strong computer skills in the use of various software applications – Office 365, Dynamics, SharePoint, OneDrive, Access, Adobe, Teams, Zoom and other platforms for virtual meetings, and a willingness to use new technologies;
- Excellent communication skills, both written and verbal;
- Solid administrative, planning, time management, organizational and situational analysis skills to prioritize and plan work, meeting deadlines, and completing multiple tasks on time with limited supervision, together with flexibility to deal with changing situations and priorities;
- Ability to work both independently, taking initiative and working proactively, and as a team member, taking direction from many, together with the ability to maintain a calm demeanor during busy or stressful times;
- Attention to detail and a high level of accuracy;
- Ability to exercise good judgment in recognizing scope of authority and protecting confidential information a must;
- A commitment to ongoing learning related to Indigenous cultural safety and trauma-informed practices; and
- Practical knowledge of The United Church of Canada, it's priorities, programs and structures are an asset.
- Proficiency in French and 1-2 years of graduate-level theological education are assets;

The United Church of Canada has adopted a hybrid workplace model, providing flexibility for this position, working both off-site and in the General Council Office, currently located at 3250 Bloor Street West in Toronto, ON. The incumbent will be provided, for work purposes, use of secure devices and must be available by email, phone, teams or zoom during regular office hours Monday to Friday. Sitting and viewing a computer screen for long periods, keyboarding/using assistive devices or technologies, intermittent physical activity including sitting, standing and being on a call for long periods of time will be required. Occasional additional hours may be required.

CompensationThe target hiring range for this position is $56,023.91 to $63,851.07 with the ability to progress to a maximum of $74,697.14. This is based on category 5 on our salary range. Placement on the salary range will be based on factors such as market condition, internal equity, candidate experience skills and qualifications relevant to the role. Pension and group benefit plans coverage and annual vacation round out this compensation package.
