Our client is seeking an experienced and highly organized Executive Assistant & Office Manager to provide direct administrative support to the President and oversee the smooth operation of their office. This dual-role is ideal for a resourceful professional who thrives in a fast-paced environment and enjoys working with a tight-knit team.
- Manage the President's calendar, meetings, and travel arrangements with precision.
- Prepare agendas, briefing notes, and presentations for internal and external meetings.
- Monitor and prioritize emails and correspondence on behalf of the President.
- Assist with confidential documents and maintain a high degree of discretion.
- Coordinate special projects and investor communications as required.
- Oversee daily office operations, ensuring a professional and welcoming environment.
- Liaise with building management and vendors for office maintenance and services.
- Order and maintain office supplies, kitchen inventory, and general office needs.
- Support onboarding of new team members (desk setup, IT coordination, access cards).
- Organize team meetings, events, and occasional offsites or investor gatherings.
- 5+ years of experience as an Executive Assistant or Office Manager, ideally in financial services, investments, or professional services.
- Proven ability to support C-level executives with complex scheduling and tasks.
- Strong organizational and time management skills with impeccable attention to detail.
- Professional demeanor with excellent written and verbal communication skills.
- High level of discretion when handling confidential information.
- Proficiency in Microsoft Office Suite; familiarity with CRM systems is an asset.
