We are Sanctuary, and we're looking for a part-time Building Manager to join our team in August 2025 (fixed-term contract for 6-12 months). This job is perfect for someone who is a skilled handy-person, has a passion for creating and maintaining dignified and inclusive spaces, and a love of people and Jesus.

The Role: Part-time Building Manager

The Building Manager's role is primarily about keeping us running smoothly and keeping our facility in tip-top shape. There are lots of people coming and going through our space, so this is an important role for us. You'll make sure that everything in the building and property is regularly cleaned, well-maintained, and in good repair. You may not be a professional tradesperson, but you do have some familiarity with building maintenance and repair. When an issue is beyond your skills, you'll coordinate contractors for repairs. You'll also keep the supplies we need on a day-to-day basis well-stocked. You'll coordinate the ordering, receiving, and storage of supplies like paper products, garbage bags, and cleaning products.

There's some administration in this role. You'll make sure our staff and facility abide by laws like the Occupational Health & Safety Act (OHSA), and the Accessibility for Ontarians with Disabilities Act (AODA). When we need permits or inspections, or have crews of volunteers helping on-site, you'll be the point person.

Specifically, the Building Manager will…

  • Facility Maintenance & Cleaning
    • Ensure Sanctuary's facilities, equipment, and property are consistently clean, safe, and in good working condition
    • Perform regular basic cleaning and upkeep tasks (e.g., sweeping, mopping, garbage and recycling removal, snow and ice clearing, de-icing, salt restocking, etc.)
    • Identify and complete minor repairs within scope of ability (e.g., light plumbing, paint touch-ups, furniture assembly, etc.)
  • Preventative & Responsive Maintenance
    • Conduct routine facility inspections to proactively identify issues before they escalate (e.g., roof leaks, pest entry points, appliance deterioration)
    • Maintain and regularly update a Building Maintenance Log documenting:
      • All repairs and maintenance performed
      • Upcoming or deferred maintenance needs
      • Safety checks and inspections completed
    • Prioritize maintenance issues in collaboration with your Team Lead and the Operations Team
  • Contractor & Vendor Management
    • Source, coordinate, and supervise external contractors for maintenance, repairs, or specialized services outside your skillset
    • Ensure all contracted work is completed to a satisfactory standard, on time, and within budget
    • Secure competitive quotes when applicable and track contractor contact information and performance history
  • Health, Safety, and Accessibility Compliance
    • Monitor and ensure building compliance with all relevant health, safety, and accessibility standards, including OHSA (Occupational Health and Safety Act) and AODA (Accessibility for Ontarians with Disabilities Act)
    • Perform monthly safety checks (e.g., fire extinguishers, exit lighting, first aid supplies, hazard signage) and escalate any concerns promptly
    • Maintain safe storage of tools, equipment, and cleaning supplies; ensure all hazardous materials are properly labelled and stored
  • Communication & Coordination
    • Proactively communicate the status of repairs and maintenance work to the Operations Team and the wider staff team
    • Coordinate scheduling of repairs and projects to minimize disruption to Sanctuary programming
    • Participate in brief weekly check-ins or updates with your Team Lead
  • Budget Oversight & Reporting
    • Track and manage the building maintenance and repair budget in consultation with your Team Lead and Executive Director
    • Submit invoices, receipts, and petty cash documentation in a timely and accurate manner
    • Flag potential overages or urgent capital repairs that may require additional funding
  • Additional Duties
    • Respond to ad hoc building emergencies (e.g., leaks, alarms, furnace outages) during scheduled hours and coordinate emergency after-hours response if needed
    • Participate in emergency preparedness planning related to the facility (e.g., lockdown procedures, fire evacuation maps, etc.)
    • Maintain a list of key facility assets and their condition (e.g., HVAC, kitchen appliances, security systems)

Hours and Compensation

  • Part-time (ideally 20-24 hrs per week)
  • Flexible hours, ideally 3 days/week
  • $26-28/hour, depending on experience and skill set
  • Benefits package, including LTD (both financial and other benefits)
  • 20 days of paid vacation per year (prorated depending on the length of contract)

You'll succeed in this role if you have these characteristics:

  4. You are resourceful. When something goes wrong, you know how to bring together resources on hand to make it right, whether the challenge is logistical or interpersonal.
  5. You are flexible. Schedules around here are written in pencil, and you'll probably be asked to do things you've never done before. You can change plans when the need arises.

Interview Process

After the initial online application process, the interview process at Sanctuary involves several steps. While we acknowledge that the process is fairly lengthy and involved, we believe it is an important process.

  1. Those candidates for whom an interview is desired will be contacted by Monday, July 21, 2025, so that an interview time can be set within the following week.
  2. In-person interviews will be conducted with a hiring team the week of July 21.
  3. After the interview, short-listed candidates will be asked to provide their references and to attend a community meal drop-in to better understand the dynamics of how we use our building. The times are Tuesday between 10:00 am – 2:00 pm and Thursday between 5:00 pm – 8:00 pm. Prior to attending the drop-in, the candidate should contact the team to ensure arrangements can be made to provide an orientation to the drop-in setting at Sanctuary.
  4. Subject to the mutual agreement of yourself and the team, you will be asked to join us. The target start date is early/mid August.
