The HRMIS Lead is responsible for the strategic planning, implementation, maintenance, and continuous improvement of the Human Resource Management Information System (HRMIS). This role ensures the HRMIS supports effective HR operations, data integrity, reporting, and analytics to drive informed decision-making. The Manager works with an HR Analyst and works closely with HR, IT, payroll, and other departments to optimize HR systems and processes.

Qualifications

Education:

  • Bachelor's degree in Human Resources, Information Systems, Business Administration, or a related field. A combination of education and experience will be considered
  • Master's degree or HRIS certifications are assets
  • Knowledge of Quadrant and Quadrant Self Services processes or HRMIS system

Experience:

  • Minimum of 5-7 years of progressive experience in HRIS or HR technology management
  • Experience implementing or managing enterprise HR systems (i.e. Workday, SAP)
  • String leadership and project management experience

Skills:

  • In-depth knowledge of HR operations and data management
  • Proficiency in report writing and data visualization tools
  • String analytical, troubleshooting, and problem-solving abilities
  • Understanding of data privacy regulations (i.e. HIPPA, PIPEDA)

Professional:

  • Minimum of 5-7 years of progressive experience in HRIS or HR technology management
  • Experience implementing or managing enterprise HR systems (i.e. Workday, SAP)
  • String leadership and project management experience
  • Knowledge of customer service standards and procedures
  • Ability to relate to people across all levels of the organization
  • Ability to analyze processes and identify areas where efficiencies can be found
  • Ability to develop training material and implement same
  • Ability to organize, prioritize and schedule work assignments
  • Ability to write reports, business correspondence, and procedure manuals
  • Ability to read, analyze, and interpret technical procedures or government regulations
  • Ability to effectively present information and respond to questions from groups of managers and/or employees
  • Ability to interpret a variety of instructions furnished in written, verbal, diagram, or schedule form

Duties and Responsibilities

Program/Service Support:

Consistent with the Mission, Philosophy and Policies of St.Amant and the Principle Functions and Objectives of Corporate Services, the HRMIS Lead provides a broad range of quality administrative support activities. Quality services are evident when professional communication, timeliness, accuracy, ethical awareness/sensitivity, confidentiality are consistently demonstrated as required by legislation and program/service standards.

Duties include:

Reporting

  • Run compliance reports, analyze data to ensure adherence to compliance standards and reports escalations as appropriate
  • Creates and generates customized, scheduled and ad hoc reports for internal and external customers including headcount reports, turnover reports, open positions, salary information, and any other relevant HR reports
  • Maintains the QI reporting requirements

System Needs

  • Manages, troubleshoots, and provides solutions for all employee issues and inquiries
  • Assists in maintaining the data entry, data security, data integrity and data maintenance of Quadrant
  • Assists management in identifying and analyzing options and recommends business process enhancement
  • Recommends, designs, tests, analyzes all changes to the HRIS systems
  • Works to improve the efficiency and effectiveness of existing systems and tool, and looks for alternatives that better meet business and program needs
  • Develops processes and procedure manuals
  • Develops, designs, builds, tests, implements, maintains and enhances HRIS tables, codes and security
  • Creates complex queries to provide program statistics for management
  • Supports system upgrades, patches, testing, new system implementations, and other technical projects as assigned

Training Needs

  • Identifies HRMIS-related training needs of HR and end users, and develops, provides and/or coordinates the necessary training to meet those needs
  • Provides appropriate support to the respective service/program teams that ensure that services provided are customer focused and enable the service/program to function in a cohesive and effective manner
  • Works with HR, Finance and IT in assessing needs for various business functions with the organization
  • Provides ongoing education/training to system users, collaborating on strategies that serve to enhance usability and understanding of the system
  • Other duties as required and assigned

Working Conditions:

  • Office environment with hybrid options.
  • May be required to work extended hours during system upgrades or project implementations.
  • Considerable multi-tasking, extreme attention to detail required, and pressure to meet deadlines.
  • Working hours can be irregular and extended due to meeting schedules and special events.
