DUTIES:
Reporting to the Deputy City Solicitor, Legal & Real Estate Services, this position will provide confidential clerical and legal assistance to the Department. Responsible for administrative support duties and general office work pertaining to clerical and administrative needs of the department in general; said duties include the confidential typing of assignments and reports; telephone inquiries; filing; preparation of court and legal documents; preparation of real estate documents and processing of purchase and sale transactions; preparation of by-laws, contracts, leases, agreements, expropriation documents; process and deposit of cheques. Must communicate with the public and fellow staff in a tactful and courteous manner. The successful candidate will display adaptability, ability to work independently, attention to detail, superior follow-up and organizational skills and a focus on delivering excellent customer service. Will perform Occupational Health & Safety duties as outlined in the Corporation's Health and Safety Program. Will perform other related duties as required.
QUALIFICATIONS:
- Must have a University Degree or Ontario Ministry of Education equivalency and a minimum of one (1) year of experience gained in a legal office performing hands-on transactional work;
- OR Must have a post secondary school community College diploma in Paralegal or Office Administration - Legal or Ontario Ministry of Education equivalency and a minimum of two (2) years of experience gained in a legal office performing hands-on transactional work;
- OR Must have Grade 12 diploma with one (1) year additional post secondary school in Paralegal or Office Administration – Legal or Ontario Ministry of Education equivalency and minimum of four (4) year experience gained in a legal office performing hands-on transactional work;
- Must have extensive working knowledge and be proficient in Microsoft suite of programs including Word, Excel and Outlook;
- Must have a minimum typing speed of 40 wpm;
- Should have knowledge of the Occupational Health and Safety Act, its regulations and knowledge of the hazards associated with the work;
- Prior litigation experience would be an asset;
- Prior municipal experience an asset;
- The physical demands analysis associated with this job indicates a light level of work.
