OVERVIEW:
This full time, permanent role will assume responsibility for the administration and processing of the bi-weekly payrolls. This includes hourly and salaried employees.
This full-service role is focused on the preparation, verification and payment of employees on a bi-weekly frequency and on continuous process improvements. The Payroll Specialist will prepare governmental, agency, carrier, and company reports. The incumbent coordinates and ensures the employee benefits data and carrier billing is correct and remits payments.
RESPONSIBILITIES:
Oversee the administration of assigned payroll, verifying all the calculations (earnings and appropriate deductions), and ensuring Federal/Provincial and legal requirements are met.
Analyze and balance internal/external reporting documentation for MacEwen such as accounting journals for payroll transactions, salaries & benefits, bank accounts, tracking vacation accruals, government statistical reporting, interact with auditors and accounting staff, and prepares reports as required.
Daily Payroll Responsibilities:
- Responds, in a timely manner, to questions from employees on matters of system issues, T documents, RRSPs, benefits and vacation balances.
- Works with Managers on matters relating to electronic timesheets.
- Provides system access for employees or managers.
- Partners with internal stakeholders to share relevant and appropriate information.
- Provides direction for managers and employees on Statutory Holidays, preparing and distributing guidance emails.
- Responds to, and manage requests for information from 3rd parties such as from CRA, Ministry of Finance ON and Revenue QC.
Processing Payroll Responsibilities:
- Ensures the weekly processing of time sheets from across the organisation, for assigned payroll companies.
- Reconciles Company benefit plan to payroll.
- Processes the payroll run as per the bi-weekly schedule, making adjustments where holidays impact processing or pay dates.
Post Payroll Responsibilities:
- Ensures receipt and archiving of all post-payroll reports.
- Prepares wire transfers for the funding of the payroll run
- Prepares RRSP contributions to the Company's retirement plan companies.
- Prepares payments external organisations, such as the FRO and garnishment payment.
- Prepares remittances to internal departments, as required.
Monthly Responsibilities:
- Submits EFT payments request to Treasury Team for employee(s) on LOA.
- Completes monthly reporting and WSIB premium payment request.
- Delivers monthly in-person or virtual information sessions for payroll system users.
Quarterly Responsibilities:
- Conducts reconciliations for assigned payrolls.
- Reconciles CRA Statutory deductions: CPP, EI & Income Tax.
- Reconciles Provincial deductions: ON-EHT, WSIB and QC – HST, CNESST and QCCNTER
Year-End Responsibilities:
- Conducts the reconciliation for earnings, Statutory deductions to the CRA and to Provincial Governments processed in the payroll calendar year for the following year-end:
- Reviews and issues T4s, RL-1 and T2200S for the employees.
- Completes the T4 summaries to the CRA, RL-1 Summary to RQ.
- Files EHT annual returns, WSIB annual reconciliation, CNESST Wage Statements.
Ongoing Responsibilities:
- Participates in system, payroll and educational session deemed valuable for the role and your development.
- Works in partnership with Human Resources colleagues on matters of hires, terminations, payroll changes and process improvements.
- Supports the management of Payroll team performance and development.
- And any other duties which may reasonably be required.
EDUCATION & SPECIALIZED KNOWLEDGE:
- Post-secondary degree in Business or Accounting is required.
- 5+ years of previous experience in processing full cycle payroll runs, ideally with a premium payroll provider.
- Working knowledge of the UKG payroll system is desirable.
- Ability to demonstrate integrity and confidentiality is essential.
- Exemplary written and verbal communication across multiple teams, departments and third-party entities is essential.
- Canadian Payroll Association designation is desirable.
- Exemplary attention to detail is essential.
- Highly organized.
- Must be a self-starter and proactive.
- Effective time-management skills.
- Intermediate-Advanced Excel.
