ABOUT WILLIAMS LAKE FIRST NATION (WLFN)

The Williams Lake First Nation (WLFN), or the Texelcemc (people of WLFN) have belonged to the Secwepemc (or Shuswap) Nation for over 6500 years. Today, the WLFN community includes a growing population of over 800 registered members who live on reserve in Sugar Cane, in nearby Williams Lake, BC, and across the globe.

POSITION

Reporting to the Recreation Supervisor, the Recreation Administrative Assistant provides administrative flexible staffing support to the Recreation department, including finding timely and effective solutions to the teams administrative and programming requirements.

Employment Type

Permanent Full time, 35 hours per week (Monday - Friday 9:00am - 5:00pm)

Probation Period

3 months from the date of hire.

Education Required

  • Graduation from High School Grade 12 or equivalency

Experience Required

  • Administrative experience and organizational skills an asset
  • Knowledge of Secwepemc values, territory, language, and culture preferred

Overtime Status

Non-exempt.

DUTIES AND RESPONSIBILITIES

  • Performs day-to-day administrative/clerical duties, including filing, photocopying, faxing, processing correspondence, proposals, reports, flyers or newsletters, e-mails and other documentation.
  • Prepares for meetings including organizing agendas, notifications, compiling documents and preparing packages and takes specific minutes of the meeting.
  • Manage and coordinate bookings for the Recreation team, including staff, elders, or knowledge keepers.
  • Provide administrative support for events, groups, and ceremony through coordination of catering, bookings, and payments for goods and services.
  • Maintain an inventory of supplies for the Recreation team, and for ongoing events and services.
  • Manage credit card reconciliations for the Recreation department.
  • Organize and submit receipts and payments for the Recreation team in a timely fashion.
  • Assist in documenting and reporting on programs, and community feedback sessions.
  • Coordinate and manage travel for Recreation staff.
  • Support delivery of Recreation programming, when needed.
  • Supports the mission, vision, and values of Williams Lake First Nation.
  • Contributes to the WLFNs ongoing success by accomplishing other duties as required or assigned.

Knowledge

  • Proficient use of information technologies (computers, mobile devices, etc.) including Microsoft Office Suite, presentation development tools, online education programs, and social media channels.

Skills and Abilities

Excellent verbal and written communication skills with strong analytical and problem-solving skills.

  • Strong interpersonal skills, very good judgment, and strong initiative.
  • Ability to multi-task, to identify priorities, be creative and maintain a detailed work plan.

WORKING CONDITIONS

  • Flexible work environment (on the land, in the office, travel required).
  • Proficiency in the use of computer programs for word processing, databases, spreadsheets, email and the internet to the intermediate level (capable of using a large number of functions and feel confident using the program).
  • Must have strong administrative, organizational and communication skills.
  • Ability to self-regulate, meet deadlines, and pay attention to detail.
  • Takes responsibility for identifying and upgrading personal skills necessary to perform job duties.
  • Successfully completes all training courses undertaken at the direction of the Supervisor.
  • Recognizes and respects all cultural diversity and understands the Indigenous culture.
  • Non-standard hours of work May be required to accommodate the community needs and that may consist of evenings and weekends.
