Who we need

Reporting to the Director, Payroll and Benefits, we are looking for a Payroll and Benefits Administrator to join our growing People team. This is a new role designed to support the rapid expansion of our faculty and employee headcount across Yorkville University and Toronto Film School. You will play a critical role in ensuring accurate and timely compensation for faculty by coordinating and preparing complex faculty payment schedules. You will help streamline non-standard payroll and benefit processes and liaise closely with our program chairs, faculty, and internal teams.

This is a full-time hybrid role, working 2-3 days per week in our downtown Toronto office.

As our new Payroll and Benefits Administrator, you will:

  • Administer faculty payments. You will manage faculty payroll schedules by compiling detailed spreadsheets that outline who taught which courses, when they were delivered, and how payments should be structured or split. You will liaise with program chairs and faculty members across Yorkville University and Toronto Film School to gather, verify, and confirm this information before submission to ensure accuracy.
  • Coordinate ad-hoc payments. You will manage a variety of non-standard payroll items, including course lead stipends, supplementary pay, course development payments, premiums, one-time payouts, and other temporary earnings. You will oversee the intake, tracking, and verification of these items and ensure timely and accurate processing.
  • Support benefits administration. You will assist in tracking and processing benefit-related payments and system updates in our HRIS system, including disability top-ups, parental leave payments, and retroactive adjustments for employees on a leave of absence.
  • Act as a liaison and guide. You will regularly provide support and guidance to faculty and employees on payroll, benefits, and other people-related matters. You will ensure clear, professional communication, track follow-ups, and help resolve issues with care and accuracy.
  • Manage accounts payable for the People team. You will oversee invoices and purchase orders related to the People function, including liaising with external vendors and ensuring timely and accurate processing.
  • Champion consistency and efficiency. You will consolidate administrative tasks currently managed across multiple team members, becoming the go-to expert for these workflows. You will bring structure and clarity, document key processes, and support transitions that allow others on the team to focus on other deliverables.
  • Contribute to People team initiatives. You will support Benefit projects, provide back-up during vacation coverage, and help promote an inclusive and positive workplace culture.

You have:

  • The experience. You may bring experience in payroll, benefits administration, or an employee-facing HR role. Or, you may be a recent HR graduate eager to gain hands-on experience in a structured, process-driven environment. Either way, you are detail-oriented, service-focused, and excited to contribute to a collaborative and well-established People team.
  • The communication skills. You have exceptional written and verbal English skills. You can communicate confidently and respectfully with instructors, program chairs, internal teams, and external vendors.
  • The attention to detail. You are highly organized and meticulous. You thrive when managing spreadsheets, tracking timelines, and handling large volumes of transactional data precisely and accurately.
  • The ownership. You are proactive and accountable. You are comfortable following structured processes and making decisions independently when appropriate. You stay on top of what needs to be done, raise flags when necessary, and consistently deliver on time.
  • The technical ability. You are proficient in Microsoft Excel and other Office tools. You can learn new systems quickly and ideally have experience with an HRIS such as Dayforce. You understand the importance of data accuracy, documentation, and audit readiness.
  • The mindset. You value teamwork and equity. You are approachable, collaborative, and invested in supporting a great experience for all employees.
