Egg Farmers of Canada (EFC) is seeking an Administrative Coordinator to join the Corporate Services team.
This position is well suited for a detail-oriented individual who enjoys working with a variety of stakeholders. The ideal candidate for this position will have at least two years of experience in an administrative position and will have extensive experience coordinating travel arrangements for different stakeholders in an organization.
Duties and Responsibilities:
- Provide administrative support to the Information Management team.
- Coordinate and manage domestic and international travel arrangements, including flights, accommodations, transportation, and itineraries.
- Ensure travel arrangement comply with company policies and budget guidelines.
- Prepare and process purchase orders, expense reports, and travel reimbursements.
- Assist in scheduling meetings and conferences.
- Prepare and edit documents, reports, and presentations.
- Ensure kitchen cleanliness and coordinate kitchen duties for the office.
- Coordinate the purchasing of office/building supplies and equipment.
- Coordinate incoming and outgoing mail and couriers.
- Act as back-up support for reception, including supporting catering for the building.
Qualifications/Skills:
- Knowledge of standardized work methods, tools, process and approaches related to office administration and coordinating and booking travel arrangements.
- Knowledge of relevant polices and procedures, including office administration.
- Excellent verbal and written skills both in French and in English to communicate with all levels of the organization.
- Ability to take initiative and coordinate various tasks as required.
- Ability to work independently.
- Ability to interact effectively with a variety of stakeholders and work as part of a team.
- Strong organizational and time management skills.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook)
- High level of attention to detail and accuracy.
Education and Experience:
- Minimum high school diploma or equivalent
- 2-3 years of experience in an administrative role, with at least a year of experience booking travel and providing conference support.
