FISPAN Services Inc. About the Role:

  • Not your typical accounting office- we are hybrid, paperless, tech savvy!
  • We are still a startup, and as such the successful candidate will have to help with other activities outside of this role. This is something we all do at FISPAN.
  • Autonomy: You will be accountable for proactively identifying opportunities for improvement, researching, recommending, and implementing new or enhanced policies, procedures, and processes to improve operational effectiveness and support evolving business needs.
  • Growth & Development: This is an excellent opportunity for an ambitious accounting professional to expand their responsibilities, hone analytical skills, and gain exposure to strategic financial planning, working closely with the Finance Manager and Head of Finance.
  • Accountability: Research, recommend and implement new or enhanced policies, procedures and processes to improve operational effectiveness that support business needs

Key Responsibilities:

Accounts Payable & Accounts Receivable:

  • End-to-End Management: Oversee the complete accounts cycle, ensuring all transactions are reviewed for completeness, accuracy, and proper authorization.
  • Cash Flow Optimization: Prepare detailed cash requirement reports and proactively manage vendor payments to ensure timeliness (AP runs 2x monthly, or as needed for rush payments) across multiple currencies (CAD, USD, GBP, and EUR).
  • Budget Adherence: Develop a strong understanding of the company budget to ensure accurate coding and adherence to departmental spending limits.

Bookkeeping and General Ledger Management:

  • Corporate Credit Card System (Airbase) Administration: Maintain and optimize the corporate credit card system, including approving/issuing virtual and physical cards, monitoring spend limits, ensuring receipt compliance, and maintaining auto-sync rules.
  • Comprehensive GL Coding & Tracking:
    Ensure correct GL coding, departmental tracking, and accurate sales tax claims for all transactions.
  • Advanced Reconciliation & Analysis: Independently maintain, monitor, and reconcile complex GL accounts, including but not limited to: Cash & Credit Cards, Bank Reconciliations, Prepaid Expenses, Accounts Receivable, Accounts Payable, Accrued Liabilities, Intercompany, and Unearned Revenue/Accrued Receivable. This includes investigating and resolving discrepancies.
  • Journal Entry Preparation & Posting: Produce and reconcile a variety of complex journal entries, including but not limited to: commissions, unearned revenue, accrued receivable, prepaid expenses, and other accruals.
  • Payroll Reconciliation:
    Reconcile and post journal entries for both Canadian and international payroll, ensuring accuracy and compliance.
  • Adjusting Entries: Proactively identify and record ad hoc adjusting entries on a regular basis to ensure financial accuracy.
  • Sales tax Compliance: Prepare and file GST returns, prepare and file various provincial and states sales tax returns.
  • Issue Resolution:
    Take initiative in the identification of issues and errors, conduct thorough investigations of discrepancies, and propose solutions for discussion with the Finance Manager and Head of Finance.

Month-End & Financial Reporting:

  • Timely Close:
    Lead and execute key aspects of the month-end close process in a timely and efficient manner.
  • Financial Statement Preparation: Assist the Finance Manager in the preparation of the three primary financial statements (Income Statement, Balance Sheet, Statement of Cash Flows), including supporting schedules and reconciliations.
  • Consolidation Support: Contribute to the 3-statement consolidation process for internal reporting.

Budgeting:

  • Budget Process Support: Play a pivotal role in supporting the annual bottoms-up budgeting process and quarterly reforecasting cycles.
  • Stakeholder Liaison: Act as a key liaison between department heads/budget owners and the finance team, facilitating effective communication and data gathering for budgeting purposes.
  • Rolling Budget Management: Independently maintain and update the rolling budget, tracking trades, new budget requests, and actual-to-budget variances.

Other:

  • Process Improvement & Documentation: Take ownership of developing, improving, and thoroughly documenting accounting policies and procedures for all assigned tasks and duties.
  • Template Development: Drive the development of standardized templates and improvements to existing procedures and templates to enhance efficiency and accuracy.
  • Ad-Hoc Projects: Support the Finance Manager and Head of Finance on various ad-hoc financial projects and analyses as required in a fast-growing environment.

Qualifications/Requirements:

  • Accounting/business diploma/certificate or equivalent work experience
  • Thorough knowledge of full cycle accounting
  • Role requires the candidate to manage a fast-paced and deadline driven environment
  • Possess a continuous improvement mindset and work to deliver solutions that meet the changing needs of a fast-paced high-growth company
  • Willing to jump into any task to ensure the Finance team operates smoothly, especially at month end and during vacation coverage
  • Intermediate level Google Sheets and/or Microsoft Excel skills to reconcile and analyze variances and discrepancies and provide detailed reporting
  • Ability to adapt and learn new systems quickly, familiarity with Xero is not a must, but is a bonus
  • Must be meticulous and detail oriented
  • Must be familiar with foreign currency transactions
  • Excellent organizational and time management skills
  • Excellent written and oral communication skills
  • Intermediate knowledge of accounting
  • Works well independently as well as within a team
  • Excellent customer service skills with ability to deal effectively with all levels of staff

Compensation Package

We want our employees to see how the ideas they help generate today have an impact on how we do business tomorrow.With that, the hiring salary range for this position is $75,000-$88,120 annually; the base pay offered is based on comparable market data from companies of similar employee size, revenue and location. As part of our total rewards offering, permanent employees in this position may be eligible for our competitive semi-annual bonus program, subject to program eligibility requirements.
