Scope of the position:
The candidate provides ductless administrative and marketing support to the Branch Sales team, Technical Services, Channel Manager, and customers. The successful candidate will also work closely with the Marketing and support sales operations, customer programs, and marketing initiatives, while ensuring smooth communication and execution across departments.

Duties & Responsibilities

Pricing & Sales Support:

  • Maintain and update customer pricing libraries in P21 as needed, including customer-specific net pricing, job-specific contracts, and residential dealer pricing structures
  • Assist with dealer onboarding and ensure consistent communication of pricing and program details.
  • Support the sales team with accurate co-op paperwork and documentation.

Marketing & Co-op Fund Management:

  • Work with Marketing to administer supplier programs and co-op funds for dealers.
  • Maintain co-op budget tracking, ensuring proper documentation and alignment with approved marketing activities.
  • Assist with the execution of marketing initiatives and campaigns, including event planning, communications, and tracking.
  • Perform marketing administrative tasks such as proofing promotional materials, organizing assets, and maintaining program timelines.

Technical & Warranty Support:

  • Manage calls and enter data within the technical support ticketing system, including ticket creation and retrieving documentation from Freshdesk upon request.
  • Support Technical Services with DOA and warranty claim processing, including tracking and updating claim status.
  • Assist customers and sales staff with equipment registration and corrections for incorrectly registered products.

Training & Events:

  • Collaborate with internal and external stakeholders to coordinate training sessions.
  • Upload training attendees to Samsung and Daikin portals.
  • Support Product Managers with the organization of factory tours and customer trips in partnership with Marketing.

Grant & Reporting Support:

  • Create and maintain a list of “grantable” products and coordinate with Product Managers to ensure eligibility.
  • Assist with sales reporting and analysis as required.
  • Maintain and update P21 Sales Rep IDs on dealer accounts.

Cross-Functional Collaboration:

  • Work closely with the Residential HVAC Sales Support team (Donna-Lee) to align on programs and processes.
  • Provide feedback on administrative and marketing processes to improve efficiency and communication.
  • Document standard procedures and contribute to continuous improvement initiatives.

Other Duties as Required

Skills & Qualifications

  • Strong organizational skills with excellent attention to detail.
  • Ability to follow written instructions and adhere to documented procedures.
  • Strong communication and interpersonal skills with a professional demeanor.
  • Ability to multitask and manage time effectively in a fast-paced environment.
  • Self-motivated, proactive, and capable of working both independently and as part of a team.
  • Strong problem-solving and analytical abilities.
  • Experience managing budgets or program funds (co-op fund experience is a strong asset).
  • Proficiency in Microsoft Office, especially Excel; experience with P21 is an asset.
  • Background in marketing support or administration is preferred.
  • Demonstrated integrity and sound judgment in decision-making.
  • Previous experience in a similar administrative or sales support role is an asset.

What we offer:

The target salary range for this position is $50,000 to 55,000 CAD. The pay range for this position is a general guideline only. The salary will depend on internal pay equity and the candidate's relevant skills, experience, qualifications, and job market data.
