We are looking for a highly organized and detail-oriented Administrative Assistant to support a dedicated and principled Notary Public known for professionalism and service to the community. This unique position is shared between two office locations, offering a dynamic mix of front and back office responsibilities.

Attention to detail is critical in this role. The successful candidate will be responsible for overseeing contracts and official documents, ensuring every element complies with legal and procedural standards. You'll also manage reception duties such as greeting clients and responding to inquiries, prepare and process documents with precision, maintain accurate and orderly records, and assist with other administrative tasks that demand accuracy and thoroughness.

Compensation:

$60,000+ yearly DOE

Responsibilities:
  • Assists callers and visitors with queries and direct them accordingly
  • Retrieves, sorts, screens, and distributes incoming and outgoing mail
  • Composes prepares, or ensures timely responses to a variety of routine written inquiries
  • Ensures the office is always presented in a professional manner with attention to keeping board rooms and common areas organized and supplied as needed throughout the day
  • Refills printers, copiers, and fax machines at opening and closing and through the day as needed; ensures proper operation of photocopiers, fax machines, and business center resources
  • Maintains supplies inventory and ensures stock levels are maintained; places, processes, and distributes orders
  • Scheduling appointments and travel
  • Arranging for meeting requirements
  • Updating and maintaining client files
  • Filing (paper and electronic) documents
  • Prepping Power Point and mixed media presentations
  • Assists the Principal where needed

  • Shows ability to quickly and accurately finish very detailed work
