About the Role:
The YMCA of Northern Alberta is currently seeking a Leave Programs Coordinator who will be responsible for facilitating all aspects of employee paid and unpaid leaves, including medical, parental, personal, and other statutory or organizational leave types. This role serves as the primary liaison between employees, management, and third-party adjudicators such as Sun Life. The Leave Programs Coordinator ensures accurate documentation, legal compliance, and respectful, timely communication to support a smooth and positive leave experience for all parties.
Responsibilities:
- Administer and track all types of employee paid and unpaid leaves (e.g., sick leave, short/long-term disability, parental, personal).
- Act as the main facilitator between employees and external adjudicators (e.g., Sun Life) to ensure timely submissions, updates, and decisions.
- Provide guidance to staff and leadership on leave entitlements, processes, required documentation, and timelines.
- Review documentation for completeness and compliance with internal policies and applicable legislation.
- Responsible for communicating approvals, denials, return to work and other important information to employees, payroll, managers and Human Resources Business Partners.
- Facilitate benefits coverage options and be the point of contact regarding benefits while employees are on leave.
- Coordinate communication between payroll, benefits, and external providers to ensure accuracy and continuity of income and benefits.
- Maintain confidential, up-to-date records of all leave transactions and interactions ensuring appropriate employee status is up to date in UKG.
- Monitor and report on leave usage trends, identifying potential issues and areas for improvement.
- Stay current on Alberta Employment Standards and industry best practices related to leave and disability management; communicate and implement necessary changes.
- Support policy development, document leave process and conduct training for supervisors on leave procedures and UKG Leaves Management Module usage.
- Provide support to HR and Payroll on help desk tickets regarding leaves and other HR and Payroll related matters, as required.
Qualifications:
- Diploma or degree in Human Resources, Business Administration, or related field.
- Leave management experience, preferably in a multi-site, geographically broad, setting.
- Strong working knowledge of Alberta Employment Standards and disability leave legislation.
- Experience working with third-party adjudicators (e.g., Sun Life) is highly preferred.
- Exceptional organizational, interpersonal, and problem-solving skills.
- Proficient in Microsoft Office and HRIS platforms.
- High level of discretion and professionalism in handling sensitive matters.
