We are looking for an HR Coordinator to join our team!

Role: This is a permanent full-time role, working 35 hours per week.

Closing Date: June 27, 2025

Location: The primary location for this role will be our Newmarket Office at 1101 Nicholson Road, Unit 5. There may also be travel to our other satellite offices located throughout York and South Simcoe, as well as travel to other locations as required. Some evenings and weekends could occasionally be required.

Salary: $46,453 - $49,646 *Candidate experience will be considered when determining the starting salary. This salary represents the first 3 steps in a 7-step salary band.

Job Profile:

PURPOSE OF THE POSITION:

The Human Resources Coordinator (HRC) plays a vital role in ensuring the smooth operation of training programs, providing key administrative support to the broader team, and supporting and maintaining the learning culture. This position coordinates, schedules, and facilitates the logistics of both internal and external training initiatives, manages learning management system (LMS) content, maintains corporate training records, and supports credentialing and evaluation processes. The role also assists with data entry, reporting, and general HR functions such as onboarding and maintaining accurate employee files. In addition, the HRC liaises with vendors to procure external training while also supporting the development of in-house programs. With a strong emphasis on organization, communication, and attention to detail, this role enhances employee development and contributes to overall operational efficiency.

DUTIES:

Corporate Orientation & Onboarding:

  • Facilitate and manage Corporate Orientation and new employee Onboarding.
  • Support onboarding processes by ensuring new employees are enrolled in mandatory training and their training completion is tracked.
  • Coordinate logistics and scheduling of new employee onboarding, corporate orientation, and other training events.
  • Maintain an up-to-date schedule of recurring and ad hoc corporate training programs.

Learning Management System (LMS):

  • Maintain and regularly update existing LMS content to ensure accuracy and compliance with standards such as AODA and Equity policies.
  • Manage user access, troubleshoot LMS-related issues, and identify opportunities for improvement in system usability and performance.
  • Upload external training materials and ensure content is accessible and current.
  • Collect and maintain attendance records for in-person, virtual, and LMS-based training sessions.
  • Track and report on training completion, including reminders for refresher courses and mandatory updates.
  • Engage and consult with external vendors, subject-matter experts, and consultants to deliver high-quality learning experiences.
  • Maintain employee-training records in both the LMS (Rise360) and HRIS systems (e.g., UKG) to ensure accuracy and alignment with employee files.
  • Develop and analyze post-training evaluations to assess training effectiveness and improve future learning experiences.
  • Generate and distribute monthly LMS completion reports.

Credentialing & Compliance:

  • Manage the annual credentialing and VSS attestation process.
  • Enter documentation and update employee data in the HRIS, including training milestones and filing of credentials, certifications, and training verifications for audit and compliance purposes.
  • Coordinate with People & Culture to ensure consistent recordkeeping standards across training and HR functions.

Support & Administrative Functions:

  • Provide administrative support to HR-related initiatives, including employee engagement surveys, wellness events, and policy updates.
  • Support the Talent Acquisition team with various recruitment, onboarding, and off-boarding tasks and procedures.
  • Liaise with People & Culture administrators to ensure training materials and supplies are prepared and available.
  • Provide in-session support for virtual, in-person, and hybrid trainings, including managing breakout rooms and resolving technical issues.
  • Support the creation of learning-related updates for internal newsletters such as The Hive and maintain the training section of the corporate intranet.
  • Assist with updates to the Employee Handbook and other training-related documentation as needed.
  • Assist with organization-wide learning and development projects as required.
  • Provide general administrative support to the People and Culture team.

QUALIFICATIONS:

Education, Designations, and Certifications:

  • Post-secondary university degree, a college diploma, or a college certificate in Human Resource Management is required; OR equivalent experience in an HR Coordinator or HR Support role.
  • A certificate in Adult Learning is an asset
  • LMS Platform Certifications are an asset (Unix, Rise360)

Prior Work Experience

  • A minimum of 2 years of experience in a training coordination or HR Coordinator, or HR Support role is preferred.

Knowledge

  • Familiar with AODA Compliance standards

  • Takes ownership of responsibilities and shows initiative.

Additional Requirements

  • A satisfactory Vulnerable Record Check (Police Check).
  • A valid Canadian driver's license, a minimum $1,000,000 third-party liability insurance.

WORKING CONDITIONS

  • This role works extensively at a desk using a computer in a standard open office setting.
  • Ability to access all sites, as required, with the primary office being in Newmarket and the training site being in Vaughan.
