Shop and Parts Assistant is responsible for managing the inventory, procurement, and distribution of parts for the service department, as well as assisting the mechanics with repairs and maintenance tasks. This dual role requires strong organizational skills, attention to detail, and the ability to work collaboratively within a team. This position is working with our company fleet of light and heavy equipment as well as on road vehicles. You will be the heart of the shop organization, ensuring efficient operations and optimal workflow.
Key Responsibilities:Parts Management:
  • Manage parts inventory, including ordering, receiving, and stocking parts.
  • Maintain accurate records of parts inventory and usage.
  • Identify and source parts from suppliers, negotiating best prices and delivery times.
  • Monitor and maintain optimal stock levels of high use parts to ensure timely availability of parts.
  • Coordinate the return of defective or unused parts to suppliers.
  • Prepare and process purchase orders and invoices for parts.

Team Support:
  • Assist mechanics with parts inquiries and orders within the company.
  • Keep service staff informed about the status of parts orders and deliveries.
  • Provide support to ensure smooth operations within the service department.

Workshop Support:
  • Assist the mechanics with repairs, maintenance, and inspections oft of vehicles and equipment.
  • Provide hands-on support during peak times or complex repair tasks.
  • Help maintain a clean and organized workshop environment.

Documentation and Reporting:
  • Maintain accurate and up-to-date records of parts transactions and inventory. Ensuring parts used on each job gets invoiced,
  • Prepare regular reports on parts usage, inventory levels, and procurement activities.
  • Ensure all documentation is complete and compliant with company policies and procedures.

Vendor and Supplier Relations:
  • Build and maintain relationships with parts suppliers and vendors.
  • Evaluate supplier performance and provide feedback to improve service and cost-effectiveness.
  • Stay updated on industry trends and new products to ensure the best parts are sourced.

Safety and Compliance:
  • Adhere to all safety regulations and company policies in the workshop and parts storage areas.
  • Participate in safety training and meetings.
  • Ensure proper disposal of hazardous materials and compliance with environmental regulations.

Qualifications:
  • High school diploma or equivalent; additional technical or vocational training preferred.
  • Minimum of 3 years of experience in parts management, automotive, or related field.
  • Basic mechanical knowledge and experience assisting mechanics preferred.
  • Strong organizational and multitasking skills.
  • Excellent communication and team collaboration skills.
  • Proficient in Microsoft Office Suite and inventory management software.
  • Valid driver's license and clean driving record.
  • Ability to lift and carry up to 50 pounds.

Physical Requirements:
  • Ability to work in a workshop environment with exposure to various weather conditions.
  • Ability to stand, walk, and perform physical tasks for extended periods.
  • Manual dexterity and the ability to use hand tools and equipment.
