ABOUT WILLIAMS LAKE FIRST NATION (WLFN)

The Williams Lake First Nation (WLFN), or the Texelcemc (people of WLFN) have belonged to the Secwepemc (or Shuswap) Nation for over 6500 years. Today, the WLFN community includes a growing population of over 800 registered members who live on reserve in Sugar Cane, in nearby Williams Lake, BC, and across the globe.

POSITION

Reporting to the Director of Natural Resources, the Natural Resources Administrator is a key administrative and coordination role within the Williams Lake First Nation (WLFN) Natural Resources Department. This position supports the effective operation of the department through meeting coordination, grant tracking, database management, calendar organization, and policy development assistance. By ensuring smooth day-to-day functioning and supporting strategic initiatives, the Natural Resources Administrator plays a vital part in advancing WLFNs stewardship goals and strengthening departmental capacity.

The Natural Resources Administrator is responsible for organizing departmental meetings and community events, maintaining schedules for senior leadership, supporting the preparation and tracking of grant applications and reports, and ensuring the departments information management systems are well maintained and continuously improved. This role also contributes to the development of internal Natural Resources policies and procedures and provides administrative support for planning, engagement, and fieldwork logistics.

This is a dynamic, detail-oriented position that requires excellent organizational skills, the ability to manage multiple priorities, and a commitment to upholding WLFNs values, stewardship responsibilities, and administrative best practices.

Employment Type

Full time, 35 hours per week.

Probation Period

3 months from the date of hire.

Education Required

  • Post-secondary education in office administration, business administration, natural resource management, or a related field is required; an equivalent combination of education and experience will also be considered.

Experience Required

  • Minimum 2 years office administration and/or natural resources/environmental experience.

Overtime Status

Non-exempt.

DUTIES & RESPONSIBILITIES

  1. Coordinate departmental meetings and events, including preparing agendas, booking venues, ordering catering, organizing schedules, and coordinating participation of staff, leadership, and external partners.
  2. Maintain and manage the calendars of the Director of Natural Resources and the Natural Resources Manager, including scheduling meetings, coordinating travel, and resolving conflicts to ensure smooth and timely departmental operations.
  3. Record, organize, and store accurate meeting notes from departmental meetings, interdepartmental sessions, and engagements with external partners.
  4. Maintain a centralized and searchable database of meeting records, decisions, and follow-up actions.
  5. Maintain, organize, and improve the Natural Resources Departments master online filing database.
  6. Assist with financial administration tasks such as processing departmental invoices, preparing purchase requisitions, and consolidating monthly credit card statements for the Director of Natural Resources and the Natural Resources Manager, in coordination with the WLFN Finance Department.
  7. Assist in the development, formatting, and review of internal departmental policies, protocols, and standard operating procedures, such as field safety policies, staff training protocols, and wildlife safety procedures.
  8. Assist in the preparation and formatting of presentations, briefing notes, community notices, and other related documents.
  9. Provide other general administrative support to the department, including document preparation, travel coordination, supply ordering and internal filing of documents.
  10. Contributes to the WLFNs ongoing success by accomplishing other duties as required or assigned.
