THE ROLE

We are seeking a highly organized and proactive Personal Assistant to support two senior executives in a fast-paced, high-visibility environment. This individual will be instrumental in organizing the President's calendar, coordinating domestic and international travel, managing personal and business affairs, overseeing property and vehicle maintenance, planning events, and handling a wide range of administrative and lifestyle responsibilities with discretion and attention to detail. The ideal candidate is adaptable, resourceful, and thrives in a dynamic environment where priorities can shift quickly.

Key Responsibilities:

  • Prepare and manage a variety of correspondence and follow-ups
  • Coordinate and manage schedules, meetings, and appointments
  • Research travel options and provide comparisons for both personal and business trips
  • Book international and domestic travel, including transportation and accommodation, while ensuring all personal preferences and requirements are met
  • Track travel plans to ensure alignment with any visa or residency requirements
  • Plan and organize events ranging from intimate gatherings to formal large-scale functions
  • Oversee the maintenance and day-to-day operations of personal and vacation properties, both locally and internationally, includes scheduling repairs, liaising with vendors, managing housekeeping teams, and reviewing utility bills
  • Arrange for vehicle servicing, repairs, and relocations across locations as needed
  • Handle errands and assist with personal tasks or special projects
  • Process receipts and reconcile credit card statements
  • Support executives with various ad hoc tasks as required

Qualifications and Requirements:

  • 3+ years of experience supporting senior-level executives
  • Proficient in Microsoft Office Suite (Word, Excel, Outlook, PowerPoint, SharePoint)
  • Professional, personable, and approachable with a can-do attitude
  • Strong sense of initiative and the ability to manage competing priorities
  • Exceptional written and verbal communication skills
  • Highly organized and detail-oriented with strong follow-through
  • Background in real estate, finance, construction, property management, or marketing is considered a strong asset
  • Comfortable with last-minute changes and shifting priorities
  • Willingness and ability to travel
  • Valid drivers license and access to a personal vehicle
