THE ROLE

We are seeking a highly organized and proactive Executive Assistant to support two senior executives in a fast-paced, high-visibility environment. This individual will be instrumental in managing calendars, documentation, and daily operations, ensuring all executive functions are streamlined and efficient. Discretion, professionalism, and strong communication skills are key to success in this role.

RESPONSIBILITIES

  • Prepare, track, and follow up on various forms of correspondence and documentation
  • Respond to telephone and email inquiries in a timely and professional manner
  • Manage complex calendars, coordinate meetings, and schedule appointments
  • Prioritize and oversee multiple projects simultaneously, ensuring timely completion
  • Review documents and reports, liaising with external parties when needed
  • Prepare meeting agendas and record accurate meeting minutes
  • Maintain confidentiality and handle all business matters with discretion
  • Sign and track contracts and change orders on behalf of the executives
  • Maintain and update the contract tracker, distribute executed copies, and send to internal departments
  • Organize weekly check-in meetings to review documents and key communications
  • Reconcile credit card receipts and manage financial organization
  • Coordinate travel and logistics when required

REQUIREMENTS

  • Minimum of 3 years experience supporting senior management or executives
  • Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook, SharePoint)
  • Strong written and verbal communication skills; excellent keyboarding and organizational abilities
  • Positive, personable, and professional with the ability to interact with diverse stakeholders
  • Proven track record of meeting deadlines and managing time-sensitive projects
  • Adaptable to last-minute changes and able to stay calm under pressure
  • Industry experience in Real Estate, Construction, Property Management, Leasing, Finance, or Marketing is a strong asset
  • Valid drivers license and access to a personal vehicle
  • Willingness to travel as required
