Job Description:
An Administrative Assistant is required to support the Corporate Security team. The position is based in Calgary and reports to the Manager, Security and Compliance. This position will be focused on providing a variety of administrative duties for AltaLink's CIP (Critical Infrastructure Protection) and compliance programs. The role requires an efficient individual that is dedicated to providing excellent customer service.
Responsibilities:
Responsibilities include but are not limited to:
- Administer AltaLink's Critical Infrastructure Protection (CIP) authorization and access process (AMS) to ensure timely and compliant access authorizations and terminations are provided.
- Gather, review, reconcile and submit regular evidence packages for on-going CIP compliance to Alberta Reliability Standards (ARS).
- Contravention and Self-Report Management, including preparing self-reports and mitigation plans using templates. Track and update mitigation plans from self-reports to completion.
- Participate in capital security projects providing subject matter expertise on security processes as well as performing system input validation and UAT testing as required.
- Update Security and CIP manuals, documents, and standards as required in a regular and timely manner.
- Prepare, review and complete scheduled access audits to maintain compliance with AltaLink programs and standards.
- Provide a professional interface with internal and external stakeholders on a variety of written or personal interactions in a timely manner.
- Prepare paperwork for new and existing employee within Corporate Security as well as terminations.
- Maintain effective ongoing interaction with Management and other Administrative Assistants within the company.
- Arrange and organize meetings as required.
- Occasionally will be required to work some overtime.
- Other administrative tasks and duties as required.
Requirements
Qualifications:
- Minimum education required is a High School diploma.
- Minimum of the three (3) years of Security related administrative experience and experience coordinating multiple projects five (5) preferred.
- Proven ability/experience in the above noted responsibilities.
- Proven experience in working in SAP GRC, AssurX Compliance Management systems, or equivalent compliance software.
- Demonstrated knowledge and understanding of the requirements, procedures and structures of a security program.
- Demonstrate knowledge and understanding of ISO 27001:2022, ISO 27019:2017 requirements. Knowledge and understanding of ISO 27019:2024 is an asset.
- Previous experience in an electrical utility is preferred.
- Proficient with Microsoft Outlook, Word, Excel and PowerPoint.
- Working knowledge of SharePoint and Access Management Systems would be an asset.
- Strong organizational and analytical skills.
- Proactive, results focused, with ability to work and report regularly on multiple projects and priorities simultaneously.
- Strong demonstration of initiative, planning, problem solving and time management skills.
- Must have a demonstrated positive attitude and be flexible in the work performed.
- Ability to work under pressure, adhere to tight deadlines and with minimal supervision while maintaining attention to detail.
- Previous experience providing administrative support to management level would be an asset.
- A strong desire and willingness to learn.
- Proficient data entry and typing skills.
- Proven track record of accountability.
- Effective communication (verbal and written) and interpersonal skills to interface with team members, customers and stakeholders to promote positive outcomes.
- Proven track record of good performance and attendance.
