Receiving/managing emails and calls, in this role as the Service Coordinator you will efficiently schedule service work, inclusive of clear communication regarding onsite requirements, service requested & resolution.Key Responsibilities:
  • Create & distribute work orders to field service personnel ensuring that appropriate systems are updated, and clients informed when work orders are completed.
  • Develop schedules for field service personnel, considering work order priorities, due dates, location, skills required, and client portal management.
  • Facilitate Purchase order requirements and tracking of materials as required. Assist to arrange pick up by company drivers or courier or other means as necessary.
  • Provide support to field staff to ensure completion of work in professional and efficient manner.
  • Responsible to facilitate 100% Subtrade executed work.
  • Management of “Monthly Subtrade Worker Order Report” ensuring the work is vetted for the correct subcontractor, Purchase Orders are generated, service details are submitted to the subtrades promptly and efficiently. Obtain subcontractor execution dates and track to ensure work is executed timely.
  • Evaluate daily field service timecards and completed work orders, ensuring tech accuracy of completed notes and recommendations are completed to advance the work order to billing.
  • Act as Ainsworth's client advocate to expedite issues surrounding quality, service delivery and responsiveness. Provide support, guidance and make recommendations to Operations to ensure client escalations are resolved.
  • Initiate, change and/or revise scheduling to ensure client satisfaction and responsiveness is always a top priority.
  • Interface with client and other departments using strong interpersonal skills to ensure successful completion of service.
  • Assist in the growth of other Service Coordinators by sharing both job knowledge and expertise.
  • Adhere to all company policies and procedures.
  • Perform all job functions in a safe and healthful manner, abiding by and in accordance with all applicable Health, Safety and Environmental company policies and government legislation/regulations.
  • Perform other duties as assigned by Management.
  • Provides support and backup for other administrative/inside sales duties as requested.
Qualifications:
  • 1-3 years of experience as a Service Coordinator is required.
  • Experience with national accounts is an asset.
  • Data Entry to Client Web Portals.
  • Ability to follow and perform to client guidelines.
  • Excellent client service skills.
  • Excellent verbal and written communication skills.
  • Attention to detail and multi -tasking.
  • Proficiency with MS Office applications; Excel is essential.
  • Ability to exercise independent judgment and take initiative.
  • Ability to work effectively under SLA (service level agreement) and company timelines.
  • Graduate from a career college an asset.
  • Demonstrated coordination, organizational, and interpersonal skills.
