The Role

Our client is seeking a highly detail-oriented and experienced Contract Specialist to join their growing team on a permanent basis. This position plays a vital role in coordinating and managing the smooth transfer of advisor blocks of business, whether through MGA changes or buy/sell agreements. The ideal candidate has experience with transfers, contracts, and working with insurance carriers or MGAs, and thrives in a fast-paced, collaborative environment.

Responsibilities:

Transfer Coordination:

  • Manage inbound and outbound advisor block transfers
  • Collaborate with carriers, MGAs, and segregated fund providers to ensure accurate, timely completion
  • Submit and track required documentation for valuations and payments
  • Support orphan client reassignment and business transfers for deceased advisors

Data Management:

  • Review and reconcile client listings from carrier portals
  • Maintain accuracy of advisor profiles and transfer records in internal systems
  • Update WealthServ and FundServ systems to reflect business movements
  • Track and report progress using internal trackers and Apexa

Cross-Functional Collaboration:

  • Partner with onboarding and contracting teams to support advisor transitions
  • Identify and communicate issues such as advisor debt or missing documentation
  • Assist in hierarchy changes (personal to corporate transitions, incorporations, acquisitions)
  • Provide coverage during absences or vacation periods within the department

Requirements

  • Industry Experience: Minimum 12 years in insurance or financial services, with direct experience in contracts, transfers, or MGA operations
  • Software Knowledge: Proficiency in Apexa is required; WealthServ and/or FundServ experience is an asset
  • Communication Skills: Strong verbal and written communication skills to coordinate with internal teams and external stakeholders
  • Organizational Skills: Ability to manage multiple moving parts with attention to accuracy and timelines
  • Team Fit: Comfortable working in a fast-paced, detail-heavy environment
