The Role
Our client is seeking a highly detail-oriented and experienced Contract Specialist to join their growing team on a permanent basis. This position plays a vital role in coordinating and managing the smooth transfer of advisor blocks of business, whether through MGA changes or buy/sell agreements. The ideal candidate has experience with transfers, contracts, and working with insurance carriers or MGAs, and thrives in a fast-paced, collaborative environment.

Responsibilities:
Transfer Coordination:
- Manage inbound and outbound advisor block transfers
- Collaborate with carriers, MGAs, and segregated fund providers to ensure accurate, timely completion
- Submit and track required documentation for valuations and payments
- Support orphan client reassignment and business transfers for deceased advisors
Data Management:
- Review and reconcile client listings from carrier portals
- Maintain accuracy of advisor profiles and transfer records in internal systems
- Update WealthServ and FundServ systems to reflect business movements
- Track and report progress using internal trackers and Apexa
Cross-Functional Collaboration:
- Partner with onboarding and contracting teams to support advisor transitions
- Identify and communicate issues such as advisor debt or missing documentation
- Assist in hierarchy changes (personal to corporate transitions, incorporations, acquisitions)
- Provide coverage during absences or vacation periods within the department
Requirements
- Industry Experience: Minimum 12 years in insurance or financial services, with direct experience in contracts, transfers, or MGA operations
- Software Knowledge: Proficiency in Apexa is required; WealthServ and/or FundServ experience is an asset
- Communication Skills: Strong verbal and written communication skills to coordinate with internal teams and external stakeholders
- Organizational Skills: Ability to manage multiple moving parts with attention to accuracy and timelines
- Team Fit: Comfortable working in a fast-paced, detail-heavy environment
