JOB SUMMARY

Reporting to the Executive Assistant to the Chief Financial Officer, the Receptionist/ Administrative Assistant performs a variety of administrative and reception duties for the Inuvialuit Corporate Group (ICG), including but not limited to telephone and walk-in reception, mail distribution, filing, ensuring our Corporate Building is a welcoming space for the public and is maintained in a clean and safe manner.

ACCOUNTABILITIES

Reception and Front Desk Duties

  • Greet and assist walk-in visitors in a professional and welcoming manner.
  • Answer and direct incoming telephone calls promptly and courteously.
  • Maintain a tidy and inviting reception area that reflects ICGs values and professionalism.
  • Responsible for arranging couriers.

Administrative Support

  • Provide general administrative assistance to the Executive Assistant and other team members according to the directive of the manager.
  • Manage incoming and outgoing mail, including distribution and postage.
  • Maintain filing systems (physical and digital) to ensure documents are organised and accessible.
  • Assist with scheduling, meeting coordination, and preparation of meeting materials.
  • To order monthly office snacks or any items requested and organizing them accordingly.
  • Responsible for checking and coordinating with Procurement on ordering stationery and ensuring office equipment are all in working order (if found to be malfunctioning, informing maintenance personnel to fix problems.)

Facility Coordination

  • Monitor the cleanliness and safety of the Corporate Buildings public areas and boardroom.
  • Report any safety concerns or maintenance issues promptly.
  • Responsible for Employee FOB and parking assignment, as well as organizing office space for new employees in the Calgary Office.
  • Responsible for the Calgary Boardroom Calendar scheduling appointments, bookings and updating of the calendar.
  • Organize and assist in corporate events and meetings in the boardroom (i.e., ordering of food and drinks and ensuring computer systems are working.
  • Responsible for upkeeping of the kitchen. (i.e., coffee machine cleaning, stocking of snacks and drinks in the fridge, running the dishwasher when required.)

Corporate Representation

  • Act as a first point of contact for the public and external stakeholders, representing ICG with professionalism and cultural sensitivity.
  • Support the organizations commitment to creating a welcoming and inclusive environment for all visitors.

Confidentiality and Compliance

  • Handle sensitive information with discretion and in accordance with ICGs confidentiality policies.
  • Comply with all internal procedures and external regulations relevant to the role.
  • Ensuring records are maintained and kept properly to be easily retrieved when needed by relevant personnel.
  • Maintaining a Reception Manual to include duties (i.e., daily, weekly and monthly list of vendors, contact details and budgets).

Perform any other duties assigned.

QUALIFICATIONS

Applicants must be/have:

  • At least 2 years of experience as a receptionist.
  • Interpersonal and customer service skills.
  • Good Communicator excellent verbal and written communication.
  • Adaptability to handle changing priorities and tasks.
  • Attention to detail
  • Multitasking and time management skills
  • Computer literate with knowledge of Microsoft Office.
