ABOUT WILLIAMS LAKE FIRST NATION (WLFN)

The Williams Lake First Nation (WLFN), or the Texelcemc (people of WLFN) have belonged to the Secwepemc (or Shuswap) Nation for over 6500 years. Today, the WLFN community includes a growing population of over 800 registered members who live on reserve in Sugar Cane, in nearby Williams Lake, BC, and across the globe.

POSITION

Reporting to the Manager, Culture and Language, the Culture and Language Administrator provides administrative, flexible staffing support to the Culture and Language department, including finding timely and effective solutions to the teams administrative and programming requirements. The incumbent will ensure smooth operations of all events, including preparing agendas, ensuring timelines are met, and all cultural events have the proper team support.

Employment Type

Full time, 35 hours per week. Office hours from 8:30am - 4:30pm.

Probation Period

3 months from the date of hire.

Education Required

  • Graduation from High School Grade 12 or equivalent.

Experience Required

  • Minimum of 2-3 years of administrative, clerical or coordination experience.
  • Minimum 1-3 years of business, project management, property management, project management, or related experience.

Overtime Status

Non-exempt.

DUTIES & RESPONSIBILITIES

  • Performs day-to-day administrative/clerical duties, including filing, photocopying, faxing, processing correspondence, proposals, reports, flyers or newsletters, e-mails and other documentation.
  • Prepares for meetings including organizing agendas, notifications, compiling documents and preparing packages and takes specific minutes of the meeting.
  • Serve as the primary point of contact for the Culture and Language team, prioritizing and responding to requests in relation to urgency.
  • Manage and coordinate calendars and bookings for the Culture and Language team.
  • Accept requests for culture and language bookings for events, and coordinate bookings of staff, Elders, or knowledge-keepers in a timely manner.
  • Provide administrative support for events, groups, and ceremony through coordination of catering, bookings, and payments for goods and services.
  • Maintain an inventory of supplies for the Culture and Language team, and for ongoing events and services.
  • Manage credit card reconciliations for the Manager of Culture and Language.
  • Organize and submit receipts and payments for the Culture and Language team in a timely fashion.
  • Assist in documenting and recording planned programs, meeting minutes, and community feedback sessions.
  • Coordinate and manage travel for Culture and Language events and staff.
  • Supports the mission, vision, and values of Williams Lake First Nation.
  • Contributes to the WLFNs ongoing success by accomplishing other duties as required or assigned.
