POSITION SUMMARY

The People Operations Specialist is responsible for the management and oversight of all HRIS activities including system updates and expansion and the identification of opportunities to better leverage the system and improve processes. The Lead is also responsible managing the P&C policy portal ensuring that all current policies and Employee Handbooks are posted and updated as required.

The People Operations Specialist provides support to the talent acquisition process, provides back up support for their counterparts in other regions as needed, and supports the Directors of People and Culture (P&C) in projects and initiatives. The Specialist also provides back-up support for North American travel, logistics, security, admin, reception, resource bookings and other People & Culture functions as needed.

The ideal candidate for this role should have high initiative, strong problem solving skills, a background in Human Resources, strong BambooHR or other HRIS expertise and have worked in a multinational organization.

Current Project Responsibilities will include: Optimizing the use of BambooHR across the organization including full administration of the system, identifying efficiencies, documenting processes and training staff on them, updating documents and templates within the system, completing and rolling out policy and handbook updates.

MAIN RESPONSIBILITIES INCLUDE:

  • Responsibility for the development and management of MEDAs HRIS (BambooHR) as the main resource for the P&C Team and hiring managers for the HRIS. This includes the development and evolution of the system to fully leverage all functionality, managing system changes, upgrades and maintenance, answering questions, managing access, troubleshooting concerns, and ensuring the accurate and consistent input of data by P&C colleagues across the systems for accurate reporting.
  • Provide talent acquisition support, including system related support, initiating candidate searches, seeking approvals, creating and sending out employment contracts for North America and Latin America, keeping templates updated, closing postings, etc.
  • Supporting the Director of P&C, North America & Latin America with all other P&C projects as needed, providing back-up support for other task within the department and orientation to new employees on BambooHR processes.
  • Managing the P&C Policy portal, ensuring all current P&C Policies and Country Handbooks are posted there, updated regularly based on legislation and organizational changes, accessible, with user friendly and engaging content. Communicating any changes to P&C Policies and Country Handbooks to employees as needed.


REQUIREMENTS

Education: Bachelors degree in human resources or a related field

Experience: Human Resources Operations, HRIS management/administration, Recruitment

Technical Expertise: BambooHR Administration, SharePoint
