Position Title: Executive Assistant & Administrative Coordinator
Reports To: President & CEO
Location: Hybrid (4 days a week in the office downtown at King & Yonge)
Status: Full-Time
The Federation of Rental-housing Providers of Ontario (FRPO) is the largest association in Ontario representing those who own, manage, build and finance residential rental properties and their industry partners. FRPO works on behalf of members to promote a balanced and healthy housing market with a vital rental-housing industry.
Job Summary:
The Federation of Rental Housing Providers of Ontario (FRPO) is currently seeking an energetic, organized, results-orientated individual to join its team as Executive Assistant & Administrative Coordinator, reporting to the President & CEO.
Duties and Responsibilities
· Assist the President/CEO with administrative tasks that include managing an active calendar of appointments; completing expense reports; arranging travel plans, itineraries and agendas and compiling documents for meetings.
· Arrange Board meetings and all required logistics including catering and audio/video conferencing; preparation and distribution of meeting materials; and taking minutes
· Respond to member and public inquiries and direct to the appropriate FRPO team member
· Member services support including processing applications, new member onboarding, invoicing and updating key contacts in the database
· Event registration and on-site support requiring some work outside normal work hours
· Order office supplies and maintain appropriate inventory
· Liaise with office property manager and all FRPO office suppliers and vendors including IT, courier, etc.
Qualifications
· Previous experience as an Executive Assistant preferred
· Superior organizational/time management skills
· MS Office proficiency
· Ability to multitask and prioritize daily workload
· Up-to-date with latest office technology and applications including databases
· Excellent verbal and written communications skills
· Discretion and confidentiality
· Must have a valid Driver's License

Salary Range: $65,000 - $75,000/annum (based on experience)
