The Project Coordinator is responsible for ensuring smooth execution of projects from initiation to completion. This role involves coordinating project activities, managing task assignments, maintaining clear communication with stakeholders, and supporting the project team. The Project Coordinator also ensures quality standards are met and monitors project performance against defined milestones.

Key Accountabilities

Project Coordination and Planning

  • Assist in Project Planning: Collaborate with project managers to develop project plans, including setting clear budgets, timelines, and scope.
  • Resource Management: Ensure the team has the necessary resources and support to execute tasks effectively and meet deadlines.
  • Progress Monitoring: Track project milestones, timelines, and deliverables. Proactively address delays or obstacles to keep projects on track.
  • Issue Resolution: Identify potential project challenges and work with teams to resolve them quickly, ensuring minimal disruption to the timeline.

Administrative Support

  • Documentation Management: Maintain all project-related documents, including contracts, proposals, meeting minutes, and status reports. Ensure up-to-date records and compliance with company policies.
  • ERP System Processing: Oversee contracts, billing, procurement, and financial tracking through the ERP system to ensure smooth project administration.
  • Reporting: Compile and provide regular progress reports to stakeholders, ensuring transparency and timely updates on project status.
  • Billing & Procurement: Assist with processing invoices, managing budgets, and ensuring financial resources are allocated appropriately for project needs.

Cross-Functional Collaboration

  • Stakeholder Communication: Act as the liaison between project teams, customers, and other stakeholders, ensuring timely and clear communication of updates, requirements, and expectations.
  • Internal Team Support: Collaborate closely with internal teams (engineering, procurement, production) to ensure alignment of project objectives and requirements.
  • Problem-Solving: Facilitate meetings and discussions to address challenges, mitigate risks, and foster collaboration between cross-functional teams.
  • Quality Assurance: Work with quality teams to ensure project deliveries meet established standards as well as customer expectations.

What Were Looking For

To thrive in this role, you should bring:

Education and Experience

  • Engineering Degree or equivalent.
  • Working toward achieving PMP Certification or achieved.
  • 2 to 5 years of experience working with engineering, manufacturing and distribution operations in an industrial environment.
  • Project management skills are essential.

Technical Skills

Proficiency in Microsoft Office Suite.

Experience in working in an ERP business system.

Familiarity with project management software and tools

Soft Skills

Ability to work independently or as part of a team

Excellent time management capabilities.

Strong interpersonal and communication skills.

Computer literate with proficiency in Microsoft Office and Project.

Ability to simplify complex problems, conduct root cause analysis, and provide actionable recommendations.

Strong, team-oriented leadership with a focus on results.
