The Service Administrator will be responsible for providing a full range of service and administrative support functions for the service department. The Service Administrator will work in close proximity to the Service Supervisor and Service Dispatcher and will assist with the flow of information with the Parts Department.Key ResponsibilitiesPayroll Management: Process and manage payroll accurately and on time. Ceridian PayrollWork Order Administration:Prepare and input all work orders, purchase orders (POs), and machine entries.Maintain accurate records for preventive maintenance (PMs), battery PMs, and other service-related tasks.Procurement: Order and track office supplies, CAT products, and other required materials.Arrange necessary equipment and refreshments for service-related meetings and training sessions.Travel Coordination: Book hotel accommodations for technicians as required.Invoicing and Customer Service: Mail out all service invoices promptly.Respond to customer inquiries regarding invoice statuses and service-related questions.Communication and Support: Answer company phone lines and direct calls appropriately.Assist the Service Department in the absence of the Service Dispatcher.Documentation and Filing: Organize and maintain work orders, service reports, and other essential records.Additional Duties: Perform other tasks as assigned by the Service Department.
