ABOUT THE ROLE
Reporting to the Head, Corporate Finance, you will play a key role in supporting the efficient operation of Cusos accounts payable function and office administration at our Corporate Office in Ottawa.
You will work with a motivated and dedicated team to ensure Accounts Payable activities are completed and compliant with organizational standards and procedures. Youll have the opportunity to be an A/P specialist, using your skills and experience to train others, resolve issues and respond to A/P related inquiries. In this role, youll work as part of the finance team to ensure completion of all activities related to the payment and purchasing cycle, and month end process.
The Accounts Payable Officer will also support the delivery of our Indigenous Canada program, our fastest growing program, by supporting our program team in the collection, processing and review of financial documents to ensure financial compliance and the timely issuance of payments.
The Accounts Payable Officer is a hybrid role, which required at least two (2) in office days per week in order to facilitate the day-to-day functioning of our corporate office by providing administrative and customer service support to our staff and two sub-tenants that share are co-located within the office.
KEY RESPONSIBILITIES
1) Accounts Payable:
- Perform the day-to-day processing of accounts payable transactions to ensure that Cuso International payments are processed in timely manner by:
- Receiving and verifying invoices and finance requisition forms
- Verifying that transactions comply with policies and procedures
- Preparing batches for data entry
- Coordinating invoices entry for payment in WP
- Prepare and complete weekly EFT and Wire payments
- Maintaining and updating vendor and accounts payable information
- Managing requests for bank drafts as they arise
- Send out weekly emails to vendors with their payment information
- Provide support in the reconciliation of monthly credit cards recorded in the general ledger.
- Administering Cuso Internationals corporate credit cards
- Support and assist in the completion of annual and compliance audits
2) Indigenous Canada Program Support:
- Perform the day-to-day processing of accounts payable transactions ensuring payments are processed in a frequent and timely manner
- Provide support to the program team in the collection and verification of documentation to be entered into WorkPlace
- Provide support to the project team to enter requisitions into workplace for approval
- Complete bank reconciliations on a monthly basis (if required)
3) Office Administration:
- Troubleshooting and responding to staff, sub-tenant and landlord requests both in person and virtually
- Coordinates the processing of legal documentation required for Cuso global operations
SKILLS AND EXPERIENCE
Essential
- A diploma in accounting or a related field, or equivalent academic and practical experience.
- Fluency in English
- Minimum 3 years of experience in a Finance role working within a finance department, supporting the efficient functioning of the accounts payable function
- Ability to work efficiently and meet deadlines in a fast-paced environment
- A positive attitude and a strong willingness to collaborate with corporate and project teams
- Understanding of the accounting cycle and the accounts payable process
- General knowledge of accounting principles, procedures, and best practices
- Excellent attention to detail
- Strong numeracy skills and problem-solving abilities
- Strong aptitude for using financial and accounting software applications
- Required knowledge of the Microsoft Office Suite & other databases (Advanced Excel skills)
- Flexible and solution-orientated with the ability to work in a learning culture
- Strong communication and customer service skills
- Ability to work effectively in a cross-departmental team and liaise with various teams
- Analytical skills
Desirable:
- Fluency in French
- Familiarity with project accounting
